Role Description
As a Professional Services Operations Specialist, you will support Professional Services leadership and delivery teams by running key operational rhythms, maintaining accurate operational data, and producing reporting that enables informed decision-making. You will help ensure projects are staffed effectively, internal workflows run smoothly, and operations scale through strong documentation and continuous improvement.
This position is 100% remote.
Responsibilities
- Reporting & Business Rhythm: Produce recurring PS operational reporting (scorecards, capacity/utilization, delivery health) and facilitate weekly/monthly operating cadences with PS leadership and leads.
- Resource Planning & Staffing Support: Coordinate project staffing workflows, maintain allocation plans, and support recurring resourcing huddles and ad-hoc resourcing requests.
- Operational Execution: Support consistent project setup and ongoing operational needs (onboarding, time entry hygiene, approvals/locks, PTO tracking, meeting logistics, escalations cadence).
- Process & Documentation: Maintain SOPs, checklists, and internal documentation; identify and implement workflow improvements to reduce manual effort and increase consistency.
- Cross-Functional Coordination: Partner with PS leadership, PMO, Finance, IT, and tooling owners to ensure clean handoffs, accurate data, and timely resolution of operational issues.
- Partner Operations Support: Assist with partner onboarding/offboarding workflows and operational coordination (documentation, access requests, compliance steps, and utilization/time audit support as needed).
Qualifications
- Experience in Professional Services Operations, Resource Planning, PMO operations, or a similar role supporting a delivery organization.
- Strong reporting and analytical skills; able to translate operational data into actionable insights.
- Working knowledge of resource planning, project staffing, and operational cadence management.
- Strong process discipline and documentation habits (SOPs, checklists, repeatable workflows).
- Comfortable coordinating across multiple stakeholders and handling competing priorities.
- Familiarity with PSA/project management tools and systems (tool-agnostic; specific tools a plus).
- AWS Cloud Practitioner Certification (required within 1 year of hire).
