Role Description

A growing plumbing company is seeking a reliable, proactive Dispatcher + Operations Admin to support daily service operations while strengthening internal organization systems. This role combines front-line dispatch responsibilities with operational improvement initiatives.

  • Manage incoming calls and coordinate technicians
  • Oversee inbox communications
  • Build structure behind the scenes through organized trackers, workflow systems, and process documentation

Qualifications

  • Excellent spoken and written English (C1 level or higher)
  • Calm and professional under pressure
  • Highly organized and structured thinker
  • Comfortable building and optimizing Google Sheets independently
  • Strong critical thinking skills
  • Proactive self-starter who does not wait for direction
  • Comfortable handling daily customer communication
  • Seeking a stable, long-term role
  • Available during US Central working hours

Primary Responsibilities

  • Dispatch & Customer Communication
    • Answer incoming calls professionally and calmly
    • Schedule and dispatch service technicians efficiently
    • Handle escalations with composure and sound judgment
    • Send appointment confirmations and follow-ups
    • Maintain daily inbox management (achieve zero inbox daily)
  • Job & Workflow Tracking
    • Maintain accurate job tracking inside Google Sheets
    • Ensure technician schedules and service updates are documented clearly
    • Monitor job progress and flag issues proactively
  • Growth & Operational Responsibilities
    • Build and improve structured Google Sheets trackers from scratch
    • Create organized email triage systems
    • Document processes and create internal SOPs
    • Identify workflow inefficiencies and implement simple improvements
    • Strengthen internal organization as the company scales

What Success Looks Like

  • Calls are handled professionally and efficiently
  • Technicians are dispatched smoothly with minimal confusion
  • The inbox is consistently organized and up to date
  • Internal tracking systems become cleaner and more structured
  • Workflows improve over time due to your initiative
