Role Description

This role involves supporting the administrative functions of the assigned department and ensuring efficient workflow.

  • Communicate messages/inquiries/issues effectively and professionally, respecting confidentiality.
  • Complete a variety of administrative tasks, including managing calendars, completing expense reports, and preparing correspondence.
  • Prepare professional reports and presentations as directed.
  • Manage daily administrative duties to enhance workflow efficiency.
  • Assist leadership with calendar support, including scheduling meetings and managing conflicts.
  • Make travel arrangements in accordance with policy.
  • Prepare and edit correspondence, presentations, and other documents.
  • Conduct research and analyze data for reports and documents.
  • Initiate follow-ups for leadership initiatives, including contract expirations and meeting action items.
  • Answer and screen phone calls professionally, taking messages and handling inquiries.
  • Work with department leaders to develop necessary materials for programs.
  • Coordinate staff meetings/events/conference calls as instructed by leadership.
  • Review operating practices and implement improvements.
  • Utilize and enter data into department databases.
  • Maintain Reporting, Time and Expenses, Project Status Reports, and Budget Reports.
  • Collect and analyze data to produce weekly and monthly specialized reports.
  • Coordinate seminars/meetings and assist with registration and attendee contact.
  • If supporting the Marketing department, serve as the primary point of contact for requests and maintain marketing documents.
  • Support campaign planning and execution efforts.
  • Attend project meetings and take minutes.
  • Support a variety of special projects with organizational impact.
  • Assist with planning efforts for enterprise-wide meetings and events.

Qualifications

  • High School Diploma or GED equivalent required.
  • Two (2) years of administrative or office support experience required.
  • 3-4 years of increasingly complex administrative support & project coordination experience preferred.
  • Previous experience supporting a Marketing team preferred if assigned to the Marketing department.
  • Previous customer service experience preferred.
  • Detail oriented and organized with the ability to juggle multiple tasks.
  • Strong analytical skills and creative conceptualization abilities.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

  • Ability to work independently and within a team setting.
  • Ability to complete tasks with varying priorities under conditions requiring speed and accuracy.
  • General knowledge of administrative procedures and standard business office practices.
  • Ability to establish and maintain effective working relationships.
  • Ability to read, understand, and communicate in English sufficient to perform the duties of the position.
  • If in the Business Development department, proficiency in content authoring tool – Captivate.
  • If in the Learning & Development department, ability to create e-learning courses.
