Role Description

As a key member of the Direct Travel Meeting & Events team, the Associate Program Manager will be responsible for assisting and contributing to planning meetings/incentives in an entry level and administrative role.

This role will work closely with clients and a team of program managers and report to the team operations manager.

Going the Extra Mile (Responsibilities)

  • Ensure accurate and timely data entry into Cvent
  • Manage Website Registration Sites, Databases and Attendee Management
  • Orchestrate Travel Arrangements for Attendees
  • Draft program documents and communication for programs
  • Draft Timelines for meetings and incentives
  • Prepare close out reports as it pertains to our client service requirements
  • Draft Post Con or Meeting History Reports
  • Begin Reconciliation Checklist Coordination
  • Conduct file audit processes/procedures
  • Manage the expense reimbursement process and vendor payment requests
  • Negotiate agreements and terms with vendors for the health of the event budget
  • Demonstrate industry knowledge by contributing effective ideas

Qualifications

  • College degree preferred
  • 1-3 years experience in Meetings & Incentives or the hospitality industry
  • Proficient with Windows operation system and variety of software programs
  • Excellent written and verbal communication skills
  • Time management and organizational skills
  • High level of detail orientation
  • Strong customer service skills
  • Excellent leadership skills
  • Strong quality control management
  • Self-motivated and ambitious
  • Prior experience working with attendee management systems preferred
  • Demonstrate ability to learn and adapt to changing procedures, methods or processes and assist in teaching others

Requirements

  • Proficient at multitasking
  • Proficiency in Microsoft Office
  • Prior experience in Cvent
  • Prior experience with virtual or hybrid programs
  • Must be able to lawfully work within the US and have unrestricted work authorization for US
