SUMMARY
The Logistics Specialist is responsible for executing logistics, customer service, and administrative tasks related to materials trading. This role is crucial in efficiently driving our logistics operations – maximizing profitability, mitigating risk, providing excellent customer service and responsiveness while ensuring proactive and clear communication across the necessary functional groups and partners. The individual is highly motivated, collaborative, detail-oriented, and can multi-task with a high sense of urgency.
NOTE: This job description outlines key logistics team functions and is intentionally broad in scope to allow flexibility across domestic and international responsibilities. An individual’s workload will depend on experience, training, and business needs as market conditions change.
ESSENTIAL FUNCTIONS
Load Scheduling & Coordination
Coordinate with brokerage suppliers, consumers, and logistics vendors to schedule shipments in alignment with PO terms and conditions.
Promptly schedule supplier loads upon request and proactively follow up on open orders; keeping commercial stakeholders informed of progress and seeking their support when necessary.
Schedules and manages pickup and delivery appointments. Collaborates to maximize utilization and proactively communicates misses and recovery plans to the appropriate parties.
Utilizes established templates, processes, and systems to request bookings/tenders and appointments.
Facilitate reallocations (or change of destinations) as directed to meet market demands with urgency and accuracy while minimizing cost impact.
Assigns logistics partners by prioritizing cost and balancing transit time, reliability, and service capability.
Maintain and update required spreadsheets and systems in real time with attention to detail.
Rate Management & Invoicing
Provides accurate and timely rate information to commercial professionals.
Works closely with approved vendors to obtain multiple rates and maintains all quotes in our rate management platform.
Identifies lanes suitable for long-term rate agreements and recommends accordingly.
Maintains documentation and tracks accessorial charges on a load basis, confirming they are invoiced in accordance to any existing agreements or carrier/broker accessorial tables.
Partners with commercial team to determine responsibility for incurred charges and instruct admin/accounts payable accordingly.
Resolve freight-related discrepancies with vendors and internal teams, including invoice disputes. Communicating outcomes to relevant parties for payment and/or debits where appropriate.
Documentation & Compliance
Prepare shipping documentation with accuracy and timeliness when necessary.
Ensures accurate usage of HTS and Schedule B classifications at the time of booking.
Facilitates compliance with regulatory agencies, customs and trade in coordination with customs brokers and internal Compliance Specialist and relevant partners.
Understands and applies Incoterms appropriately across shipments – DTHC’s, Customs Clearance responsibility, freight responsibility, etc.
Ensure compliance with all applicable laws, regulations, and ISO standards.
Inventory & Warehouse Coordination
Provide import ETA’s to logistics counterparts and warehouses for coordination of final deliveries.
Assign warehouse partners based on inbound forecast, free time, rates, and storage costs. This requires close coordination with partner facilities to understand available capacity and to minimize costs.
Collects, verifies, and reports monthly physical inventories at third-party warehouses to Finance and Accounting.
Validates invoicing accuracy (handling and storage costs), approving for payment or disputing as required.
Issue Resolution & Claims
Address logistics issues with urgency, attention to cost, and professionalism.
Monitors international shipments, addressing customs holds, delays, and cost-related issues with urgency to minimize financial and operational impact.
Document and prepare 3rd-party freight claims to review with Director of Logistics before submission.
Follow established procedures to mitigate load theft risk and follow Stolen Load protocol with urgency if/when a theft is suspected.
Stakeholder Engagement & Communication
Build and maintain strong relationships with internal and external partners (e.g., carriers, brokers, warehouses, customs brokers, commercial, accounting, and finance teams etc).
Ensure workload visibility and collaborate with teammates for seamless service and coverage in times of work absence.
Participate actively in vendor meetings while seeking synergies and contributing to continuous improvement discussions.
Other Responsibilities
Stay informed on freight market trends through regular webinars, seminars, and industry updates.
Remain cognizant of urgent (carrier delivery) issues after hours/weekends and respond as needed.
Leverage partner technologies for tracking, analytics, claims, and inventory management.
Support and adopt new technology implementations aligned with strategic goals.
Adopt a mindful approach to travel and expense spending, balancing need and fiscal responsibility.
Submits Trip Summary and/or Meeting Minutes to Director of Logistics and VP of Operations.
Travel up to 15% as needed, using the most resource-efficient methods.
Consult with the Director of Logistics as needed and perform other duties as assigned.

QualificationsPOSITION QUALIFICATIONS
EDUCATION AND EXPERIENCE
High school diploma, GED, or equivalent required. Bachelor’s degree (or equivalent) in logistics, supply chain management, or related disciplines preferred.
3+ years of demonstrated logistics and customer service experience required.
Multi-modal logistics and commodity experience highly preferred.
Bilingual capability preferred (English and Spanish)
