Role Description
The Manager Medical Affairs is responsible for leading financial governance, budget management, and operational financial processes across the Medical Affairs organization. This role ensures compliant, transparent, and efficient financial stewardship across Medical Affairs tactics, deliverables, and cross-functional initiatives.
The manager will collaborate closely with the Medical Affairs Leadership Team (MALT), Finance, Compliance, Legal, Procurement, and cross-functional partners to ensure all financial activities align with strategic priorities, accurately tracked, and executed according to corporate standards.
Key Responsibilities

Budget Planning, Tracking & Reporting
- Lead annual OPEX planning and forecasting for Medical Affairs, including FTE cost rollups and functional budget consolidation.
- Maintain real-time budget trackers for departmental operational spending, ensuring accuracy and visibility.
- Support quarterly BCMA actuals reporting and financial reconciliation activities.
- Partner with Finance to validate invoice status, PO utilization, accruals, and year-end close-out.

Financial Operations for Medical Tactics
- Oversee financial workflows for the Medical Affairs Leadership Team, including evaluation of funding requests, contracted amounts, and payment tracking.
- Ensure alignment between requested, approved, and contracted funding amounts with full financial transparency for review committees.
- Manage all steps of the contracting and payment process: supplier setup, purchase orders, invoice processing, documentation, and closeout.
- Maintain records in SharePoint and ensure compliance with internal SOPs and HCC guidance.

Compliance, Governance & Audit Support
- Ensure financial processes for Medical Affairs expenditures align with compliance requirements; partner with Compliance/Finance on due diligence and documentation standards.
- Facilitate financial transparency enhancements as the team transitions to the upgraded Medispend portal (e.g., contracted-amount visibility, reviewer access improvements).
- Function as the primary operational partner for internal audits related to Medical Affairs financial processes, including providing data, documentation, and process explanations.

Cross-Functional Collaboration
- Collaborate with Accounts Payable, Finance, Legal, Clinical, Medical, Procurement, Compliance, Corporate Communications, Commercial partners, and J&J counterparts to ensure alignment on funding requests, budgetary requirements, and financial controls.
- Partner with agency vendors, congress organizers, and external organizations to manage financial components of projects, including tracking deliverables and validating invoices.

Process Optimization & Systems Management
- Contribute to continuous improvement of financial operations, including documentation practices, portal enhancements, budget dashboards, and workflow efficiencies.
- Ensure the Medical Affairs Leadership Team has timely access to accurate financial metrics and insights to support decision-making.
- Support Senior Leadership with calendar management and specific organizational tasks.
- Oversee Fair Market Value tiering process for the organization.
- Oversee Concur expense management system for Medical Affairs function.
- Manage Monday.com and other FTE hourly tracking processes for Medical Affairs.
Qualifications
- Bachelor’s degree in finance, Business Administration, Accounting, or a related field.
- Minimum 5 years of financial operations experience; experience in Medical Affairs, compliance-driven functions, or healthcare.
- Strong understanding of PO workflows, contracting, budget management, and vendor payment processes.
- Established proficiency to manage complex, cross-functional financial processes and documentation.
- Excellent communication skills with an ability to collaborate across legal, compliance, medical, and finance functions.
- Experience supporting Medical Affairs tactics such as Sponsorships, Grants, KOL engagements, Advisory Boards, Exhibits, Medical Affairs studies.
- Familiarity with budget reporting tools, financial portals (e.g., SAP S4P Client System), and SharePoint.
- Experience with OPEX planning and financial forecasting in a biotech or pharmaceutical environment.
