Role Description
The Director, Clinician Workforce Strategy and Capacity Management is a key member of the clinical operations team, responsible for:
- Forecasting capacity needs
- Managing service levels
- Leveraging technology to eliminate scheduling gaps while protecting margin and reliability
The Director manages a team of schedulers, providing leadership and direction to transform manual workflows into a centralized, efficient structure that balances clinical supply with patient demand across a multi-state telehealth platform.
What You’ll Do
- Provide leadership and direction to the scheduling team
- Build and run the workforce/capacity model across states, programs, and care settings
- Translate demand signals into actionable staffing plans and scheduling strategies
- Define and manage trade-offs across coverage, cost, service levels, and clinician experience
- Partner with business and clinical leaders to establish a clear operating cadence for capacity decisions
- Lead the scheduling operating rhythm, including Tier 2 support for disruptions (call-offs, coverage gaps, service changes)
- Own core models and reporting for productivity, utilization, scheduled hours, coverage gaps, and service levels
- Develop scenario models in Excel to guide staffing and operational decisions (capacity, COGS, margin impact)
- Interpret and use Tableau dashboards to spot trends, diagnose performance variance, and drive action
- Drive continuous improvement in schedule build processes and scheduling quality
- Support go-lives and expansions with timeline ownership and coverage readiness
- Surface insights clearly to senior stakeholders—what’s happening, why, what we’re doing, and expected impact
- Serve as the connector across Operations, Analytics, Clinical Support, Service Excellence, Credentialing/Privileging, and Finance
- Communicate proactively when risks emerge; bring solutions, not noise
- Ensure workforce decisions align to financial targets (including Cost of Goods Sold (COGS) and contribution margin)
- Establish KPIs, accountability, and a practical operating system that scales
- Improve tools/processes to support daily operations, with a focus on physician scheduling excellence
- Provide direct supervision of staff, including assignment of work tasks, coaching, and general performance management
- Coach, develop, and mentor direct reports with an emphasis on building career paths for professional growth
- Administer progressive discipline, including corrective action, when necessary, to ensure high levels of job performance and compliance with company policy
- Conduct formal performance appraisals for all direct reports and develop action plans for continued development and performance improvement
- Manage payroll activities for direct reports to include timekeeping, approval for time off requests, and other administrative functions

Qualifications
- Bachelor’s degree in business administration, Healthcare Administration, or a related field
- At least 7 years of relevant work experience in workforce/capacity analytics, operations strategy, workforce management, or a related analytical management role
- Advanced Excel skills (modeling, scenarios, data structuring; you can “live in spreadsheets”)
- Ability to interpret Tableau dashboards and use BI outputs to drive decisions
- Proficiency with Sales Force, Microsoft Office, and scheduling software
- Demonstrated ability to manage multiple priorities without getting overwhelmed—strong judgment and ruthless prioritization
- Strong financial analysis and modeling skills, with the ability to effectively communicate insights
- Deep understanding of scheduling efficiency drivers and the ability to present data-driven recommendations
- Excellent facilitation, collaboration, and influencing skills, with a proven track record of successful cross-functional engagement
- Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively
- Strong interpersonal and presentation skills, with the ability to communicate clearly at all levels of the organization
- Proactive and self-starter; approaches responsibilities with a thoughtful and appropriate sense of urgency
- Strong project management skills, while understanding the nuances of the organization (being organizationally aware)
- Tolerance for ambiguity and ability to cut through to the core of an issue
- Comfortable with change with the ability to pivot to meet the needs of the company
- Ability to thrive in a high growth, fast-paced organization and remote-based environment
- Must be able to remain in a stationary position 50% of the time
- Occasional travel for meetings and collaboration
