Responsibilities

  • Maintain and organize office files, documents, and records related to pool projects
  • Assist in scheduling appointments and coordinating meetings for project managers
  • Act as the first point of contact for client inquiries and provide exceptional customer service
  • Prepare and process purchase orders, invoices, and expense reports
  • Support the team in preparing project proposals and documentation
  • Manage office supplies inventory and place orders as necessary
  • Assist in maintaining project timelines and tracking milestone completions

Job Requirements

  • Proven experience as an administrative assistant or in a similar role, preferably in the construction industry
  • Excellent organizational and multitasking skills
  • Strong communication skills, both verbal and written
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software
  • Ability to work independently and as part of a team
  • Detail-oriented with a focus on accuracy and efficiency
  • High school diploma required; additional qualifications in office management or related field are a plus
