The Marketing Projects Coordinator provides support for a wide range of print, digital, media and special events projects. The position interacts closely with creative services, internal stakeholders and external vendors and partners to ensure marketing projects are delivered on time, within budget and on scope.
This position requires strong organizational and project management skills, the ability to balance multiple priorities, and a proactive approach to supporting evolving marketing and communications initiatives. The ideal candidate is highly organized, detailed oriented and process focused, moving with clarity, speed, and accuracy for cross-functional coordination of projects. The Marketing Projects Coordinator helps to anchor the team to success by being a strong communicator, and able to anticipate roadblocks and proactively resolve them. This position requires experience with managing print and digital content, understanding the print production process, a basic knowledge of Adobe Creative Suite and working with a project management software such as Workzone, Wrike or similar platforms.
Experience working with an ad agency, knowledge of project management methodologies and background in healthcare or a related field is preferred.
Key Performance Areas
KP1 – Based on marketing projects objectives, gathers resources and directs traffic to complete project requests on time, within budget and on scope.
Uses technology platforms to effectively track and monitor project deliverables.
Assists with managing timelines, tracking schedules and deadlines.
Creates projects and appropriate tasks to outline full scope of project.
Makes task assignments and communicates to team members.
Generates new or updates existing project management templates with focus on process improvement.
KP2 – Serves as a marketing point of contact for marketing requests to assist with managing intake and resourcing needs.
Helps with daily project management operations to support practice brands and service lines and resolves problems to complete execution of requests.
Assists with project intake to ensure that all project assets are prepped for fulfillment.
Works closely with the creative, web team and communications/content management teams to ensure a clear understanding of project objectives and direction are outlined for clear campaign execution.
Champions best practices to maintain consistent, high branding standards.
Places print orders and tracks deliverables.
KP3 – Maintaining marketing platforms
Assists with file organization of the Digital Asset Management Library
Work with the design team and external vendors to maintain all assets are current and in-use on platforms.
Connects with vendor partners and the creative team to ensure correct logos and materials are utilized and maintaining branding standards and consistency.
Sets up workspaces across multiple platforms.
Keeps current on best practices and emerging technologies and trends within the platforms.
KP4 - Helps with daily project management operations
Procures photographers and coordinates headshots.
Generates business cards and email signatures.
Provides timely field assistance to help support practice partners.
As assigned, coordinates projects with creative, web and communications/content teams, schedules projects, and meets all client expectations throughout the process.
Assists with project-specific problem-resolution activities by coordinating cross-functional teams to deliver clients with appropriate solutions.
KP5 – Events support and execution - work with events committee to support event logistics and deliverables
Coordinates promotional items and specialty advertising items.
Assists with generating invoices and tracking sponsorships.
Provides support for sponsorship deliverables and fulfillment of sponsor benefits.
Responds to sponsorship inquiries and administers support as needed.
Works with external vendor partners to procure the delivery of all event materials.
Position Qualifications
Education
Bachelor’s degree in journalism, communications, marketing, or a related field
Minimum Relevant Experience
Minimum 3 years of experience in marketing and with in-house or external agency, preferably with healthcare, life sciences or another regulated industry.
Hands-on experience with traffic management or production of printed and digital materials.
Knowledge of the print industry and familiarity with basic design concepts and graphics programs.
Proven project management and organizational skills with the ability to coordinate a high-volume of marketing campaigns.
Efficient at problem solving and identifying risks.
Highly detailed and confident communicator.
Skills
Preferred:
Experience in print production.
Project management or traffic management.
Healthcare industry experience.
