Role Description

As the Centralized Leasing and Admin Specialist, you will play a critical role in enhancing the customer experience and ensuring application accuracy by supporting the administrative and documentation process for new applicants. You will support our onsite community teams and elevate the overall prospect to resident experience, helping ensure customers move through the leasing journey smoothly, accurately, and confidently. This includes:

  • Reviewing applicant documents
  • Confirming data accuracy
  • Identifying potential fraud
  • Communicating with customers to ensure all required information is submitted

Your work directly contributes to stronger compliance, faster decision making, and greater consistency across our communities. If you excel in organization, communication, and problem solving—and enjoy supporting both customers and onsite teams—this is an excellent opportunity to make an impact.

This role is primarily remote and requires the candidate to reside in Florida or Minnesota, within one hour of one of our communities. Occasional travel to our home office in Wisconsin and to supported communities will be expected.

Essential Responsibilities:

  • Proactively manage outbound and inbound communication (phone, email, text) with applicants to gather required documentation within 48 hours of application completion
  • Thoroughly review and verify credit reports, income documents, and identification materials to ensure accuracy, completeness, and alignment with company standards
  • Verify the accuracy of applicant demographics and follow up with applicants to obtain missing or corrected information as needed
  • Monitor, track, and communicate documentation trends, accuracy patterns, and process gaps to Operations Leadership to support ongoing improvement
  • Partner closely with Community Managers to provide timely application updates and clearly outline next steps to ensure 100% document completion prior to approval
  • Perform additional responsibilities and support tasks assigned to meet business and operational needs

Qualifications

  • Associate’s Degree required or equivalent experience
  • One (1) or more years of apartment leasing experience preferred
  • Strong written and verbal communication skills
  • Comfortable navigating multiple systems and conducting system audits for accuracy and compliance
  • Strong organization and time-management skills to manage high volumes of applications and documentation deadlines
  • Experience with Property Management Systems (PMS), particularly OneSite, strongly preferred
  • Proficiency in Spanish preferred

Benefits

  • Career Growth: Tools, training, and opportunities for meaningful career with long-term growth potential
  • Mental Health & Wellness: Comprehensive mental health support including 8-free counseling sessions per year
  • Balance: Generous vacation time, 9-paid holidays, and half-days on Fridays during designated months
  • Community & Connection: Build relationships through informal gatherings, lunches, community and company events, and volunteer opportunities
  • Culture of Belonging: Commitment to evolving our culture where team members feel a sense of belongingness
  • Performance Incentives: Participate in our Building Above and Beyond (BAAB) incentive program
