Job Description
Position: Apprenticeship Program Coordinator
The Apprenticeship Program Coordinator supports the day-to-day operations and mandatory record-keeping for the Apprenticeship team. This position manages apprentice registrations, maintains accurate data across systems, and supports timely compliance reporting. Your work turns career aspirations into reality by navigating the complex compliance and administrative landscape required to keep our apprentices moving forward and our programs in good standing.
Our Apprenticeship program has seen strong growth across a growing portfolio of employer partners, with continued momentum ahead. Our programs support apprentices in HVAC, Plumbing, Electrical, and Facilities Maintenance and play an important role in expanding skilled trades education nationwide.

What you’ll do:
- Manage apprentice registration processes from intake to state submission.
- Maintain accurate records across internal systems, spreadsheets, and state portals.
- Track enrollments, withdrawals, and completions.
- Prepare and validate documentation for state compliance reporting.
- Support invoicing accuracy through clean enrollment data.
- Identify data discrepancies and proactively resolve them.
- Coordinate communication with customers to collect missing documentation.
- Support enterprise apprenticeship accounts with operational execution.
- Partner across the Apprenticeship Services team to improve and document workflows.
- Collaborate with Implementation and Customer Success teams to ensure seamless program launches.

Requirements:
- 2+ years in operations, program coordination, compliance, or administrative support
- Experience with compliance or regulatory documentation
- Familiarity with CRM systems and a variety of operational related platforms (specifically we use WorkHands and HubFlo, along with government required platforms like RAPIDS)
- Experience managing data across multiple systems
- High attention to detail
- Experience with apprenticeship programs or workforce development is preferred
- Candidates must be authorized to work in the United States for any employer without stipulations and be residents of the United States.
- Following the offer of employment, all roles will require a background check and a drug and alcohol test. Some positions may require other verifications, such as, driver eligibility and record, credentials or education. All new hires will be required to complete the I-9 Form and E-verify process upon employment.
Pay: $60k-$70k annual salary + up to 5% annual bonus
