Project Accounting/Invoicing Support Consultant

Job Description

Our client's Project Accounting team recently went live on a new ERP system and is in the final stages of completing month‑end close while ramping up for the first invoicing cycle. Due to high volume and incomplete migration of historical backup files, the team is seeking temporary administrative resources to support invoicing preparation, backup support, and documentation.

This role is critical to ensuring accurate, timely invoicing by pulling timesheet and expense backup from legacy systems, organizing supporting documentation, and assisting with client‑specific invoice requirements. The team is currently overwhelmed, and speed of onboarding is a top priority.

  • Support the first invoicing cycle by organizing and validating supporting documentation
  • Pull detailed hour data as needed, export to Excel, and create pivot tables for attachment to invoices
  • Assist with the creation and standardization of invoicing templates
  • Support client‑specific invoicing requirements (some long‑tenured clients require invoices in specific formats)
  • Merge documents, manage PDFs, and ensure all backup is complete and audit‑ready
  • Follow documented procedures and step‑by‑step instructions accurately in a high‑volume environment

Additional Skills & Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Experience supporting invoicing or billing processes (administrative or project accounting support level)
  • Experience utilizing ERP accounting software
  • Heavy use of Excel, PDFs, and legacy system data pulls
  • Strong attention to detail with the ability to follow written procedures accurately
  • Strong Excel proficiency, including: Pivot tables, Grouping and sorting data, Subtotaling, & VLOOKUP
  • Comfortable working with PDFs and Adobe tools
  • Ability to perform repetitive, manual tasks with a high level of accuracy
  • Strong organizational and documentation skills
  • Ability to ramp up quickly with minimal training
