Job Description
The PMO Performance Analyst is the primary steward of Coastal’s project delivery data. Reporting to the Sr. Director, PMO, this role is responsible for the mechanical accuracy, collection, and analysis of the key data points that drive adherence to PMO standards and attainment of Delivery Excellence. You are not just a report builder; you are an operational analyst who digs into the "why" behind project variances, ensuring that the PMO leadership has a transparent, real-time view of portfolio health.
This role focuses on the high-fidelity tracking of project metrics—from resource utilization to margin leakage—ensuring that every data point in our PSA and CRM systems reflects the ground truth of our delivery execution. Your success is measured by the elimination of data "blind spots" and the creation of a robust, automated analytics capability that powers the PMO.
- Project Health Auditing: Conduct weekly deep-dive audits of project data to ensure compliance with PMO standards for status updates, milestone accuracy, and budget tracking.
- Variance Analysis: Identify and investigate "Red/Yellow" project indicators, performing root-cause forensics on schedule slippage, scope creep, and budget overages.
- Data Hygiene Management: Act as the primary administrator for data integrity across Accorto, Smartsheet, and Salesforce, ensuring that "messy" data is identified and corrected at the source by Project Managers.
- Revenue & Margin Tracking: Analyze the gap between planned vs. actual margins, providing the PMO with specific insights into where delivery costs are eroding profitability.
- Dashboard Architecture: Work in partnership with IT to design and maintain a suite of PMO dashboards that track the key health metrics and adherence to standards.
- Weekly Performance Reporting: Produce high-impact, weekly snapshots of market-level performance for the PMO Business Partners, highlighting teams or projects requiring support or intervention.
- Utilization Analytics: Track and forecast resource demand vs. capacity, identifying bottlenecks in the workforce that could lead to delivery delays or consultant burnout.
- Benchmarking: Develop internal benchmarks for different project types (Salesforce Implementation vs. Snowflake Architecture) to help the PMO refine estimating accuracy.
- PSA Tool Optimization: Partner with IT and Operations to refine the technical configuration of our PSA tools, ensuring they capture the data points necessary for advanced analytics.
- SOP Documentation: Create and maintain the "Data Standards Manual" for the PMO, outlining exactly what date as well as how and when it must be entered to ensure reporting consistency.
- Feedback Loops: Use data trends to recommend specific changes to the PMO playbook and PM Academy training, identifying which delivery steps are consistently over-budget or under-estimated and which key project milestones activities may be struggling with adoption of best practices and delivery methodologies.
- Training Support: Provide technical "How-To" support to Project Managers on the correct way to use PMO tools to ensure data outputs remain high-quality.
- Ad-Hoc Analysis: Conduct rapid-response data modeling for the SVP of Delivery Excellence to support strategic decisions around hiring, market expansion, or service pricing.
- Asset Harvesting Coordination: Use data to identify the "Golden Projects"—those that hit all financial and quality targets—to help the team extract reusable templates and best practices.
- Stakeholder Transparency: Ensure that project data is structured to be easily consumable for executive-level reporting, removing technical jargon in favor of clear business insights.
- 2-4 years of experience as a PMO Analyst, Project Controller, or Operations Analyst within a professional services or IT consulting firm.
- Advanced experience in a PMO environment with a specific focus on project financial modeling (BVA, EAC, Margin analysis).
- Advanced-level proficiency in Salesforce, PSA tools, and Business Intelligence platforms (Tableau, CRM Analytics).
- A relentless commitment to data accuracy; the ability to spot a single incorrect entry in a massive data set that skews the portfolio view.
- Mastery of complex formulas, pivot tables, and data manipulation techniques for cleaning and merging disparate data sets.
- The ability to take raw numbers and turn them into a narrative that explains the operational health of a project.
- Strong understanding of the project lifecycle (Waterfall, Agile, Hybrid) and how each phase generates specific data points.
- Must have full-time permanent US work authorization
- Understanding the typical work-breakdown structures (WBS) associated with Salesforce or Snowflake implementations.
- Proficiency in diverse professional services contract models (Time & Expense, Fixed Fee) and their project management, revenue forecasting, and realization impacts.
- Bachelor’s Degree in Finance, Business, or Data Science.CAPM or PMP certification is a strong plus.
- Highly organized with a systematic approach to problem-solving.
- Ability to maintain objectivity and present "uncomfortable" data truths to leadership with clarity and professionalism.
- Strong communicator who can coach PMs on the importance of data hygiene.
- Proven ability to partner with delivery leaders as champions in a federated PMO model, influencing adoption of standards and enabling PM success without direct authority.
