Role Description

The work of the Division of Oncology bridges the worlds of basic science, clinical diagnosis, and the treatment of cancer. Our basic investigative activities concentrate on immunology, genetics/genomics, pharmacology, DNA repair, and oncogene action. Our clinical science covers each cancer type, has a strong focus in clinical trials of new diagnostic and therapeutic approaches, and in correlative laboratory studies.

The Division of Oncology within the Department of Medicine is actively seeking an experienced and proficient Research Administrator 2 to complement its dedicated team specializing in finance and research administration. This pivotal role involves providing crucial support to the division's finance team, particularly in the management of sponsored research accounts.

The ideal candidate will serve as the primary contact for all financial and administrative activities related to the faculty they support. Responsibilities include:

  • Preparing and distributing regular financial reports.
  • Collaborating with faculty and staff to review accounts.
  • Providing detailed financial analysis, forecasting, and recommendations.
  • Tracking and managing staff salary distribution across clinical trials with fluctuating revenue.
  • Ensuring strict compliance with internal policies and sponsor guidelines.
  • Overseeing expenditures, initiating funds transfers, updating labor distribution, and handling other financial transactions.
  • Managing research activities across the entire lifecycle, from proposal preparation to post-award administration of contracts and grants.
  • Supporting faculty with large research portfolios that include a mix of federal, industry, and endowment funding.
  • Collaborating with faculty to develop, revise, and finalize project budgets.
  • Securing cost-sharing commitments and working closely with the Office of Sponsored Research.

This is a remote eligible position.

Duties include:

  • Participating with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines.
  • Overseeing and communicating submission process, both paper and electronic; reviewing documents for completeness and compliance.
  • Developing, preparing, and finalizing project budgets, and providing budget justification.
  • Serving as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; responding to sponsor inquiries.
  • Collaborating with Office of Sponsored Research to ensure awards are set up properly and cost-sharing requirements are fulfilled; initiating cost transfers.
  • Reviewing and approving expenditures, advising on post-award spending and commitment activity, and overseeing compliance related to fund and revenue.
  • Developing and communicating reports supporting project status; creating effective forecasting and decision aids.
  • Participating in contract closeout process; submitting final reports and certificates.
  • Compiling information and documents needed for audit inquiries.
  • Understanding, applying, and advising on university and government policies for projects.
  • Serving as a resource on subject area and overall technical resource to principal investigator and other university staff.
  • Participating in and contributing to process improvements; leading other staff in group projects.
  • May participate as a mentor and provide cross-training as needed.

Qualifications

Requirements

  • Bachelor’s degree and three years of job-related experience, or combination of education and relevant experience.
  • Basic knowledge of governmental regulations.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Excellent oral, written, and communication skills.
  • Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.
  • Strong accounting skills; knowledge of accounting principles.
  • Ability to complete Cardinal Curriculum I and II within the first year in role.
  • Knowledge of procurement needs, including sole sourcing, cost analyses, vendor requirements, and small business reporting.
  • Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
  • Competency in project management.
  • Extreme attention to detail.
  • Ability to work well independently, but also to seek or offer assistance when needed.
  • Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
  • Excellent time management and organizational skills.
