Position Title: Technology Coordinator Position Location: Remote - work virtually from anywhere in the United States JOB SUMMARY The Technology Coordinator serves as the operational technology enablement lead within the Business Management Office (BMO), supporting consistent, predictable, and scalable project delivery across Smart Tech. This role functions as a “technology Swiss Army knife” — providing practical, day-to-day system support, troubleshooting, training, and coordination across platforms without serving as a deep technical engineer. The Technology Coordinator ensures tools, templates, file systems, and automation workflows are standardized, accessible, and effectively adopted across departments. Positioned within Organizational Excellence, this role supports system consistency, SharePoint ownership, remote file management, transition coordination with ai2io, and enterprise technology enablement aligned with BMO standards ESSENTIAL FUNCTIONS IT Support & Issue Coordination (25%) Serve as the BMO IT support side stream lead for internal operational tools. Manage follow-ups and escalations to ai2io and other vendors as needed. Identify patterns and trends that signal wider-spread system issues. Provide frontline troubleshooting support across platforms (Microsoft 365, SharePoint, Smartsheet, file sharing tools, templates, etc.). Ensure consistent communication and resolution tracking of system-related issues. Systems Ownership & Platform Governance (25%) Own and maintain Smart Tech’s SharePoint structure, ensuring consistency, usability, and governance. Implement structural updates and improvements as directed by BMO leadership Serve as owner of the remote file share tool, including access structure, consistency, and user support. Maintain system organization standards aligned with project delivery frameworks. Coordinate with ai2io on system integrations, licensing, access, and technical escalations Transition & Enablement Support (20%) Serve as Transition Support Lead for system or process rollouts. Coordinate with ai2io and internal stakeholders during platform transitions. Deliver training sessions and practical enablement for new tools and processes. Provide structured support during rollout phases, including issue tracking and resolution. Escalate systemic concerns and adoption risks early. Templates, Automation & Digital Tools (15%) Own and maintain enterprise templates (Word, Excel, PowerPoint) to ensure brand, structural, and delivery consistency. Implement and maintain Smartsheet and Power Automate workflows to improve efficiency and reduce manual effort. Support reporting structures and automation improvements within the BMO. Ensure templates and tools reflect evolving BMO standards Visual & Website Support Liaison (10%) Serve as liaison for visual and presentation-related support needs. Coordinate updates and structural changes to website content (in partnership with Marketing or external vendors, if applicable). Support formatting, branding consistency, and presentation readiness across departments. General Technology Enablement (5%) Act as a cross-functional support resource for software navigation and practical troubleshooting. Provide “simple” support and guidance — enabling teams to use tools effectively without overengineering solutions. Continuously identify opportunities to improve usability, adoption, and standardization of tools. Completion of assigned tasks and deliverables on time with strong attention to detail Performs Other Related Duties as Assigned POSITION REQUIREMENTS TRAVEL / RELOCATION REQUIREMENTS Up to 10%, this may include travel to any or all 50 US states. Must be located near a major US airport. Effective May 7, 2025, and in accordance with U.S. federal regulations for domestic air travel, a valid REAL ID (or an acceptable alternative, such as a passport) is required for travel associated with this position. Travel may involve transportation by car or plane depending on the destination and nature of the business need. Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meetings for business development purposes, running errands on behalf of the business, attending industry conferences, etc. EDUCATION / EXPERIENCE REQUIREMENTS Required Associate’s or Bachelor’s degree in Information Technology, Business, Operations, Organizational Development, or a related field (or equivalent practical experience). 3–5 years of experience in a technology support, systems coordination, operations enablement, or similar role. Hands-on experience supporting Microsoft 365 environments, including SharePoint and Teams. Experience providing end-user support and troubleshooting across multiple software platforms. Demonstrated ability to coordinate IT escalations and manage follow-through to resolution. Experience supporting template management, document standardization, or system organization initiatives. Ability to independently manage multiple priorities in a fast-paced, growth-oriented environment. Preferred Experience in construction, engineering, technology integration, or other project-driven industries. Experience supporting SharePoint governance, remote file management tools, or enterprise document structures. Working knowledge of Power Automate or other workflow automation platforms. Experience supporting system rollouts, change management efforts, or training initiatives. Exposure to PMO/BMO environments or operational governance structures. Microsoft certifications (e.g., Microsoft 365 Fundamentals, Power Platform Fundamentals) or similar credentials. Job Requirements

  • Experience coordinating IT escalations and working with third-party IT providers (e.g., ai2io or similar managed service partners).
  • Strong organizational skills with the ability to manage follow-ups, track issues, and identify broader system trends.
  • Ability to translate technical concepts into practical, user-friendly guidance and training.

  • Strong communication skills, both written and verbal.
