About the position: 
The Associate, Direct Response will be responsible for project management and administrative support of a complex multi-channel mass market fundraising program. This role helps ensure the program’s success by working with key internal and external stakeholders to keep the program on track by managing behind the scenes functions. 


Key Outcomes: 
In the first 90 days, the Associate will:
- Learn and live the Americares values. 
 -Complete all required new hire onboarding trainings. 
 -Become familiar with and oversee internal and external systems and processes, including project management, financial workflows, and independently managing invoices in ERPx. 
 -Play a pivotal role in meeting organization by scheduling meetings, notetaking, and sending follow-up summaries with action items. 

In the first 6 months, the Associate will:
-Independently manage the gift acknowledgment program, document processes/workflows 
 -Serve as the team resource for procurement processes and procedures in relation to invoices. 

In the first year, the Associate will:
 -Demonstrate proficient understanding of the Direct Response program and processes. 
 -Be the project management and budget expert. 
 -Make recommendations on how to continuously improve workflows. 

 Duties and Responsibilities: 
-Help with overall project management of program, including maintaining a cross-channel integrated calendar and coordinating campaign production schedules and tasks/deadlines in project management tool. 
-Oversee weekly acknowledgement sends, including preparing data and coordinating with the mail house vendor; conduct regular reviews and/or updates of copy, art, and processes. 
-Track, audit, and process expenses/invoices for team budget, making sure they are paid per the vendor’s requirements. 
-Own relevant internal and external meetings, including scheduling and attending meetings, taking notes, summarizing the meeting in a follow-up message with action items. 
-Gather program updates and content from internal colleagues to share with external vendors in a timely and organized fashion. 
-Review materials with a keen eye for detail – including but not limited to verifying production specs, proofreading copy for accuracy, checking photo releases and testing digital pieces for accuracy/functionality.
-Actively model and contribute to Americares values, work culture and mission.  
-Engage in and contribute to team spaces with openness, global competencies, and a growth mindset.   
-Other duties and responsibilities as assigned.  

These competencies are required for the role: 
• 1-3 years of experience in an administrative support position within a non-profit organization. 
• Advanced organizational skills as evidenced by clear filing systems of relevant work documents, creation of schedules and project status reports, meeting deadlines and managing many competing priorities. 
• Demonstrated project management skills with the ability to manage multiple projects involving various stakeholders from beginning to end. 
• A demonstrated ability to learn new skills and industry best practices. 
• Exceptional written and oral communication skills. 
• Analytical thinker and problem solver. 

US work authorization is required for this role. 

These competencies would be great to have, but are not required: 
-Fluency in languages that are spoken in at least one of our core locations (India, Philippines, Tanzania, El Salvador, Puerto Rico, Colombia, etc.), in addition to English.  
-Experience in direct response marketing. 
-Demonstrated experience using Asana or another project management tool.
