Position Summary:
The Regional Financial Operations Senior Manager – Shared Services (RFOSM) leads the region’s centralized transactional finance organization for a multi-entity, high-growth operating environment within AIR Control Concepts, a multi-billion-dollar national enterprise of commercial HVAC solution providers. Each region within AIR Control Concepts typically includes 6–20 operating entities, each with its own customer relationships, vendor activity, and operational needs. As regions scale and sub-regions emerge, transactional finance is consolidated into a unified shared services model to drive consistency, control, efficiency, and scalability across Accounts Receivable, Cash Application, Billing, Accounts Payable, and Collections. The RFOSM owns the performance, structure, and scalability of this shared services organization, leading a multi-layered team structure of approximately 20–30 professionals through two functional managers. This role serves as the primary shared services partner to the Regional Financial Senior Director and maintains a dotted-line partnership with two Regional Finance Directors to ensure alignment between transactional execution, working capital performance, and regional financial strategy. This is a senior operational leadership role requiring strong people leadership, disciplined execution, and the ability to scale finance operations in support of continued regional growth.
Essential Duties and Responsibilities:
Regional Shared Services Leadership
- Own the end-to-end transactional finance operating model for the region, including AR, AP, Billing, Cash Application, and Collections.
- Lead a centralized shared services organization supporting all regional entities and sub-regions.
- Establish and maintain consistent service levels, workflows, and performance standards across a complex, multi-entity environment.
- Balance centralized efficiency with responsiveness to individual operating company needs.
- Partner with the RFSD and RFDs on organizational design, staffing strategy, and capacity planning as the region continues to scale.
- Drive a culture of accountability, customer service, and operational excellence across the shared services team.
- Provide senior leadership oversight of Accounts Receivable, Billing, Cash Application, and Collections functions.
- Ensure timely and accurate invoicing, disciplined credit management, and proactive collection practices.
- Serve as the escalation point for significant customer disputes, credit issues, and aged receivables.
- Maintain strong visibility into AR aging health and partner with regional leadership to improve DSO and cash conversion.
- Ensure consistent customer communication standards across all entities.
- Oversee the regional Accounts Payable function, ensuring accurate invoice processing, appropriate coding, and compliant payment cycles.
- Maintain standardized vendor onboarding, documentation, and approval workflows across the region.
- Ensure payment approvals, disbursements, and vendor communications adhere to corporate policies and internal controls.
- Support strong vendor relationships while maintaining disciplined cash management.
- Ensure AR and AP sub-ledgers reconcile to the general ledger across all supported entities.
- Maintain strong internal controls over:
- Cash receipts
- Disbursements
- Approval workflows
- Documentation and retention
- Ensure audit readiness and compliance with corporate financial policies and document retention standards.
- Partner with accounting and close teams to resolve discrepancies accurately and efficiently.
- Lead, coach, and develop two functional managers responsible for day-to-day execution of transactional finance operations.
- Build and scale a high-performing shared services organization capable of supporting regional growth.
- Establish clear roles, accountability, and performance expectations across all layers of the organization.
- Drive succession planning, talent development, and bench strength within transactional finance.
- Foster a collaborative, service-oriented culture aligned with regional and corporate values.
- Serve as the primary shared services partner to the Regional Financial Senior Director.
- Maintain strong dotted-line partnership with both Regional Finance Directors (DMV and Non-DMV).
- Provide visibility into transactional performance, capacity, and risks across sub-regions.
- Align priorities when sub-regions have competing operational demands.
- Support the regional operating cadence, including:
- Cash flow reviews
- Forecast support
- Close coordination
- Working capital initiatives
- Own regional performance across key transactional and working capital metrics, including:
- DSO (Days Sales Outstanding)
- DPO (Days Payable Outstanding)
- AR aging health
- Invoice cycle time
- Cash application turnaround
- Dispute resolution timing
- Cost per transaction
- Productivity per FTE
- Analyze trends, identify root causes, and implement corrective actions.
- Provide regular performance reporting to regional and corporate leadership.
- Drive standardization of processes, templates, and workflows across all entities.
- Identify and implement improvements that increase efficiency, accuracy, and service quality.
- Partner with corporate finance and IT on ERP enhancements, system implementations, and automation initiatives.
- Support a scalable finance infrastructure capable of accommodating future growth and acquisitions.
Experience and Requirements:
- 7-12+ years in finance operations, accounting operations, shared services, or related environments
- 5+ years of progressive leadership experience
- Experience leading multi-entity or decentralized environments strongly preferred
- Experience managing teams of 15+ professionals preferred
- Strong understanding of AR, AP, Billing, Cash Application, and Collections
- Knowledge of internal controls and audit requirements
- Experience with ERP systems (Oracle, NetSuite, or similar)
- Advanced Excel and data analysis capabilities
- Proven ability to lead through managers and scale organizations
- Strong operational mindset with focus on consistency and execution
- Relationship-driven communicator capable of partnering with field leadership
- Comfortable operating in fast-growth, acquisition-driven environments
- High level of organization, accountability, and ownership
