Position Overview
Pavilion is seeking a highly organized, detail-oriented Ambassador Programs Associate to join our Member Experience team. This role serves as the operational backbone of our Ambassador ecosystem, supporting internal stakeholders and community leaders by owning the planning, coordination, and administration that keep programs running smoothly. Event operations are a core focus, alongside broader ambassador enablement work including day-to-day support, communications, toolkits and resources, tracking and reporting, and systems upkeep.
The ideal candidate thrives in a fast-paced environment, enjoys building and running repeatable processes, and can juggle multiple logistics-heavy priorities with precision. This is an execution-oriented role offering broad cross-functional exposure, a high degree of ownership, and ample room for creativity and growth as programs evolve.
Key Responsibilities
1) Event Operations & Administration
- Coordinate end-to-end logistics for Pavilion community events including venue sourcing support, scheduling, documentation, and day-of readiness.
- Manage operational workflows for events (event pages, invite list creation, RSVP and waitlist management, attendee tracking, etc.) and ensure event details are accurately captured and managed across Pavilion systems.
- Serve as a logistics point of contact for event hosts, sponsors and attendees.
2) Ambassador Program Operations
- Provide operational support across Ambassador programs including maintaining and building enablement materials, executing core workflows, and iterating processes as programs scale and needs change.
- Maintain organized program documentation (SOPs, checklists, timelines, and “how we run this” resources) so execution is repeatable and resilient.
- Own Ambassador budget management, reimbursements and payroll process.
3) Community Ambassador & Cross-Functional Support
- Serve as the primary day-to-day point of contact for Community Ambassadors, providing responsive operational support (troubleshooting, orientation, event/program questions, etc.), triaging and resolving requests where possible, escalating as needed, and tracking issues through to completion.
- Maintain and continuously improve ambassador-facing guidance (FAQs, quick-start resources, “how-to” documentation) to reduce repeat questions and enable self-serve support.
- Serve as the primary operational contact for internal, cross-functional partners with ambassador-program questions or support needs.
4) Reporting & Systems Management
- Maintain and iteratively improve the “source of truth” for Ambassador and program data ensuring accuracy, consistency, and clear definitions across trackers and reporting outputs.
- Manage basic systems administration tasks for Ambassador programs.
- Support workflows and automations (e.g., integrations, reminders, data syncs) by monitoring for issues, troubleshooting, and proposing improvements to reduce manual work.
- Track operational metrics (event/program performance, budget adherence, Ambassador activity, Chapter metrics, etc. ) and build recurring reporting (weekly/monthly dashboards, rollups, and summaries) to surface program health, engagement trends, and operational friction.
- Collect and synthesize feedback (NPS responses, post-event surveys, ambassador feedback loops) and ensure insights are captured, shared, and reflected in program updates.
Qualifications & Experience
- 1–3 years in program coordination, event operations, or operations/admin support (community or B2B experience a plus).
- Exceptionally well organized and operationally disciplined, with the ability to manage multiple concurrent, logistics-heavy workstreams with sharp attention to detail.
- Demonstrated ability to serve as a primary point of contact for stakeholder support, including triage, issue resolution, escalation, and reliable follow-through.
- Strong written and verbal communication skills, with experience producing polished, on brand communications and materials.
- Experience with data management and building/maintaining recurring reports.
- Eager to learn and adopt new systems quickly; familiarity with CRM/community tools (HubSpot, Hivebrite, Salesforce) is a plus.
- Natural self-starter who views ambiguity as opportunity.
- Bachelor’s degree preferred.
