Role Description
The Litigation Workflow Coordinator plays a vital behind‑the‑scenes role supporting litigation paralegals by keeping administrative, procedural, and operational workflows running smoothly at Job Duck. This position is ideal for someone who thrives in a structured, process‑driven environment and takes pride in accuracy, organization, and dependable execution. On a daily basis, the coordinator ensures documents, filings, schedules, billing support, and internal communications are handled proactively and without disruption. Success comes from maintaining calm control under deadlines, respecting established procedures, and supporting legal professionals so they can remain focused on substantive legal work. This role is best suited for a professional who values consistency, confidentiality, and being a trusted operational backbone.
- Salary Range: $1,150–$1,220 USD monthly
Responsibilities include, but are not limited to:
- Track litigation‑related costs and vendor invoices
- Collect, organize, and submit expense and receipt documentation
- Reserve conference rooms, court reporters, and external vendors
- Maintain service and procedural documentation within case files
- Arrange travel accommodations and prepare detailed itineraries
- Upload documents to court e‑filing systems and track filing confirmations
- Coordinate calendars for hearings, depositions, mediations, and meetings
- Assist with court filing logistics under paralegal supervision
- Manage document naming conventions, version control, and filing accuracy
- Organize and maintain electronic and physical litigation files in accordance with firm SOPs
- Prepare, format, proofread, and finalize non‑substantive litigation documents
- Communicate with Operations, Accounting, HR, IT, and Intake teams
- Support billing coordination and time‑entry follow‑ups
- Manage correspondence, scheduling, reminders, and task follow‑ups
- Provide direct administrative support to litigation paralegals and case teams
- Maintain strict confidentiality, professionalism, and audit‑ready records
Qualifications
- Legal administrative or litigation support experience for 2-3 years
- Remote working experience at least 2 years
- Advanced organizational and file‑management skills
- Exceptional attention to detail and accuracy
- Strong process adherence and SOP compliance
- Professional written and verbal communication
- Time‑management and task‑prioritization abilities
- Confidentiality and discretion when handling sensitive information
- Calm, steady execution under deadline pressure
- Cross‑departmental coordination skills
- Consistency, reliability, and follow‑through
Requirements
- Full‑time role, Monday to Friday
- Working hours: 9:00 AM to 5:30 PM CST
- English‑only position
- Remote role aligned to CST time zone
- Provides administrative and procedural support only
- No substantive legal drafting, legal analysis, or legal strategy responsibilities
- Operates under clearly defined SOPs and court procedures
