Role Description
We are searching for a dynamic problem-solver with a “get it done” attitude to provide executive support to our CEO. In this role as an Executive Assistant, you will apply sound judgement and a high degree of discretion in a variety of situations.

- Ability to manage multiple priorities
- Operations acumen and critical thinking to anticipate situations and needs
- Provide solutions with a sense of urgency and high level of professionalism
Key Responsibilities

Scheduling & Gatekeeper:
- Manage and maintain a constantly evolving calendar of the CEO and other Executive Leadership team members
- Serve as a liaison with internal staff and external partners at all levels
- Time advocate and liaison creating efficiency and balance for the CEO’s schedule

Travel Management:
- Book all domestic and international travel for the CEO including transport, accommodations, and other travel needs

Operations acumen:
- Apply understanding of Ontinue’s operations to support CEO/management effectiveness and responsiveness

Administrative support:
- Manage expense reimbursement for the CEO
- Other admin tasks as assigned

Board preparation:
- Coordinate logistics for board meetings globally

Projects:
- Organize internal and external events on behalf of the CEO and the Executive Team
- Support the Executive Team on projects as required
Qualifications
- At least 5+ years’ experience in a global EA role supporting C-suite Executives in a fast-paced environment
- Extensive experience of logistics management including complex schedules and international travel arrangements
- Strong business acumen and understanding of operational priorities
Requirements
- Strong self-starter that can take a task and run with it with limited supervision from the executive
- Adaptable and able to work with limited information and ambiguity
- Very strong interpersonal skills, particularly with executive and senior management
- Acute attention to detail and commitment to delivering excellence in a fast-paced environment
- Polished verbal and written communication skills at all levels
- Proven ability to independently see projects through to completion
- Ability to think creatively with a sense of urgency and adapt quickly to changing needs and priorities
- Computer literacy and proficiency in using the Microsoft Office Suite
- Ability to show flexibility and responsiveness to emails/texts/phone calls
- Availability to perform job duties outside of normal business hours when vital
