Job Description
Role Description
You will be the administrative engine for our new restaurant developments in Hawaii. Your main goal is to ensure the "paperwork side" of construction is flawless so that the physical build stays on schedule. You will manage the sequence of orders, track every delivery, and research local regulations.
The right person for this role is a "closer." You don't wait for a delay to happen; you see it coming weeks away and fix it before it starts. You are comfortable working in a fast-paced environment and can handle both technical construction logistics and personal assistant tasks with ease.
Qualifications
- Construction IQ: You must have a background in commercial construction. Experience with restaurants or commercial kitchens is a major plus.
- Research Skills: You are a self-starter who can dig into county codes and state laws to find answers independently.
- Tech Savvy: Proficient in Slack, Google Workspace, and digital filing systems.
- Logistical Intuition: You understand lead times and the physical "order of operations" on a job site.

- Schedule & Availability:
- Hours: You must be available during Hawaii business hours (Monday–Friday, 8:00 am to 5:00 pm HST).
- Flexibility: Some after-hours or weekend work will be required as needed to meet project deadlines or handle urgent issues.
- Communication: We use Slack for real-time updates. You must be highly responsive during the workday.
- Core Responsibilities:
- Project Sequencing: Manage the "order of items." You must ensure equipment and materials are ordered and delivered in the correct phase of construction (e.g., ensuring kitchen hoods arrive before the ceiling is closed).
- Research & Compliance: You are required to study and research Hawaii specific laws, building codes, and health department regulations. You will flag any local rules that could affect our timeline.
- Vendor & GC Liaison: Act as the primary remote contact for the General Contractor and equipment vendors. You are responsible for ensuring the site is ready for deliveries.
- Digital Organization: Maintain all project files in Box and Dropbox. You will also manage contract execution through DocuSign.
- Personal Support: Handle calendar management, travel arrangements, and various administrative tasks to simplify the owner's day.
