Job Description

• Manage all inbound and outbound inbox communications on behalf of the founder, including conversations with existing consulting clients, new and active leads, coaching partners, podcast hosts and guests, and software demo inquiries. • Review, prioritize, and respond to emails daily, ensuring messages are clear, timely, and written in a friendly, professional, and conversational tone that accurately represents the founder. • Schedule meetings, calls, demos, and podcast recordings across multiple stakeholders, coordinating calendars, confirming availability, and handling reschedules when needed. • Track ongoing conversations and manually manage follow-ups to ensure no leads, clients, or partners are left without a response or next step. • Maintain accurate and up-to-date records in the CRM, documenting conversations, statuses, action items, and next steps across all active pipelines. • Manage and monitor multiple pipelines simultaneously, ensuring visibility into where each conversation stands and what action is required next. • Proactively remind and nudge the founder when approvals, responses, or decisions are needed to keep work moving forward. • Identify potential gaps, delays, or dropped balls across workflows and take initiative to resolve them before they become issues. • Follow existing standard operating procedures while suggesting improvements to workflows, organization, or communication processes over time. • Provide weekly summaries inside the company’s execution and task management platform, highlighting progress, open loops, priorities, and upcoming actions. • Support additional administrative and coordination tasks as needed to ensure smooth day-to-day operations and reliable execution.

Job Requirements

  • Strong written and spoken English, comfortable with phone and email communication.
  • Proven ability to manage inboxes and send messages on behalf of an executive.
  • High level of organization and attention to detail.
  • Experience working with CRMs and managing multiple pipelines simultaneously.
  • Proactive mindset with the ability to follow up without being prompted.
  • Comfortable reminding leadership and keeping accountability without friction.
  • Experience in administrative, virtual assistant, or executive support roles.
  • Confidence handling confidential information and representing leadership professionally.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
