Role Description

The IT Manager is a shared resource employed by BenGen, responsible for the day-to-day management of technology infrastructure across BenGen and all portfolio entities, including Madrivo. This includes:

  • Hardware inventory
  • Software and SaaS tool administration
  • User access and permissions
  • Password management
  • Frontline technical support

This role serves as the central point of contact for all internal IT needs across the organization, ensuring systems are running smoothly, securely, and cost-effectively as the business scales.

The IT Manager will need to navigate the unique tool stacks, workflows, and team structures of each entity while maintaining consistency in standards, policies, and documentation.

Outcomes (What Success Looks Like)

Within 30 Days:

  • Complete audit of all company hardware across all entities with a documented inventory system in place
  • Full catalog of all active 3rd-party tools and SaaS subscriptions across all entities, including license counts, owners, renewal dates, and monthly/annual costs
  • Assume ownership of password manager(s); audit all entries for accuracy, redundancy, and proper access controls across entities
  • Establish a clear process for employees to submit and track IT support requests

Within 60 Days:

  • Implement a standardized onboarding/offboarding IT checklist
  • Identify and flag redundant or underutilized tools/licenses with cost-saving recommendations
  • Establish documented policies for user access management
  • Reduce average IT issue resolution time with a defined SLA for support requests

Within 90 Days:

  • Deliver a Technology Health Report to leadership
  • Have all systems, tools, and processes fully documented in a centralized IT knowledge base
  • Proactively recommend and begin implementing improvements to security, efficiency, or tooling based on findings

Key Responsibilities

  • Hardware & Asset Management:
    • Maintain a real-time inventory of all company hardware assets
    • Manage hardware lifecycle: procurement, deployment, maintenance, and retirement/disposal
    • Coordinate shipping and setup of equipment for new hires and remote employees
    • Track warranty status and manage vendor relationships for repairs and replacements
  • 3rd-Party Tools & Software Administration:
    • Serve as the central administrator for all SaaS platforms and software tools
    • Manage license allocation, renewals, and cancellations to optimize spend
    • Evaluate new tool requests from teams
    • Maintain a master directory of all active tools, account owners, and integration dependencies
  • User Access & Operational Security:
    • Own and manage the company password manager
    • Administer user access and permissions across all platforms
    • Execute timely access provisioning for new hires and complete deprovisioning for departing employees
    • Enforce password policies and manage MFA implementation across all systems
    • Conduct regular access reviews
    • Serve as the internal point of contact for access-related issues
  • IT Support & Troubleshooting:
    • Serve as the first point of contact for all employee IT issues
    • Troubleshoot and resolve technical problems efficiently
    • Maintain a ticketing or request system to track, prioritize, and report on support volume and resolution times
    • Develop self-service resources to reduce recurring support requests
  • Documentation & Process Improvement:
    • Build and maintain a centralized IT knowledge base
    • Continuously identify opportunities to automate, streamline, or improve IT processes
    • Stay current on technology trends and security best practices

Qualifications

  • 3–5+ years of experience in IT management, systems administration, or a similar role
  • Hands-on experience managing hardware inventory, SaaS platforms, and user access at scale
  • Strong knowledge of password management tools (e.g., 1Password, LastPass, Keeper)
  • Experience with Google Workspace and/or Microsoft 365 administration
  • Solid understanding of access control principles, password management best practices, and MFA implementation
  • Excellent troubleshooting and problem-solving skills
  • Strong communication skills

Preferred

  • Experience in a fast-paced, scaling company or multi-entity / portfolio environment
  • Familiarity with tools common in digital marketing or performance marketing environments
  • Experience with MDM (Mobile Device Management) solutions
  • Familiarity with AI tools and willingness to leverage AI for IT automation and efficiency
  • Relevant certifications (CompTIA A+, Network+, Security+, ITIL, etc.)
