Producer Recruiting Coordinator

Location: Remote | Full Time

The Producer Recruiting Coordinator plays a key operational role in supporting the Producer Recruiting function by managing candidate pipelines, coordinating interviews, and ensuring a seamless and professional candidate experience.

RESPONSIBILITIES

What You’ll Do

Recruiting Pipeline Management

  • Provide project coordination and operational support for the Producer Recruiting program
  • Maintain and manage candidate pipelines across the applicant tracking system and Monday.com boards
  • Track candidate stages, update recruiting status, and ensure data accuracy across systems
  • Assist with CRM, referral portal tracking, and recruiting data management across SharePoint and Monday.com
  • Monitor multiple active candidates simultaneously and help maintain an organized recruiting workflow

Interview Coordination

  • Coordinate interviews across multiple time zones and stakeholders
  • Prepare candidate briefing materials and meeting packets for recruiting discussions and leadership reviews
  • Manage Outlook calendar scheduling and interview logistics

Candidate Experience & Administration

  • Maintain organized candidate files including Predictive Index assessments, documentation, and onboarding materials
  • Schedule follow-up conversations and provide requested information to candidates
  • Respond to candidate inquiries and proactively ensure a high-quality candidate experience throughout the recruiting process

Onboarding Support

  • Assist with coordination of onboarding activities for newly hired producers
  • Help document first 90-day activity plans
  • Serve as an administrative liaison between recruiting, technology teams, and local offices to support new hire setup

Reporting & Data Insights

  • Track sourcing channel performance across LinkedIn Recruiter, referrals, and external recruiting partners
  • Compile weekly recruiting pipeline and velocity reports that feed leadership dashboards

QUALIFICATIONS

What You Bring

  • High School diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • Previous experience in recruiting coordination, HR support, or administrative operations strongly preferred
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and experience with applicant tracking systems (ATS)
  • Strong attention to detail and commitment to maintaining accurate recruiting data
  • Ability to manage confidential information with professionalism and discretion
  • Project management mindset with strong follow-through and accountability

ADDITIONAL INFORMATION

Compensation:
Salary range: $80,000 – $85,000 per year
