Role Description

Primary responsibilities will be to support the contract lifecycle within the firm using the Ntracts contract management system. This role will include drafting, reviewing, tracking and maintaining contracts while ensuring accuracy, compliance and timely processing. This position works closely with administrative team members, consultants, and finance and legal teams to facilitate efficient contract management and documentation. Secondary responsibilities include partnering with associates to ensure administrative needs are met.

Qualifications

  • High school diploma and five years of administrative experience required, or equivalent education and experience
  • Contract drafting and document review
  • Process tracking and flow management
  • Strong attention to detail and concern for work quality, accuracy and completeness
  • Exhibits strong communication skills, written and verbal, with the ability to articulate clear expectations and direction
  • Proven intermediate-level knowledge and experience working with Microsoft Word, PowerPoint and Outlook
  • Strong English/grammar knowledge with demonstrated editing and proofreading skills
  • Strong computer and data entry skills
  • Demonstrated ownership of assigned tasks and dedication and perseverance in getting the job done
  • Acts professionally with integrity and demonstrates accountability for own actions and behaviors
  • Excellent interpersonal skills and the ability to work with clients and colleagues at all levels

Requirements

  • Draft client contracts, amendments, statements of work, and related documentation using approved templates
  • Review contract requests for completeness, accuracy, and compliance with firm standards
  • Coordinate with consultants and leadership to clarify scope, terms, and required documentation
  • Enter, track, and maintain contracts within the Ntracts contract management system
  • Monitor contract status and ensure timely progress through review and approval workflows
  • Maintain organized digital records of all executed contracts, amendments, and supporting documentation
  • Track contract milestones, approvals, and renewal dates
  • Generate reports from Ntracts to support leadership visibility into contract activity
  • Assist with internal tracking of contract status and outstanding approvals
  • Serve as a liaison between consultants, administrative team members, finance, and leadership regarding contract status
  • Follow up with stakeholders to obtain required approvals, documentation, or revisions
  • Provide updates on contract progress and timelines
  • Maintain standardized contract templates and documentation procedures
  • Assist with process improvements related to contract drafting and tracking
  • Support audit preparation or documentation requests as needed
  • Prioritize and manage multiple tasks simultaneously and follow through on issues in a timely manner
  • Manage calendars, requiring interaction with internal and external executives, consultants and support specialists, to coordinate various meetings
  • Arrange travel schedules and reservations, as needed
  • Assist with the planning and setup of internal or client meetings, as requested
  • Support and back up other support specialists in the enterprise, as needed
  • Contribute ideas and efforts toward improved internal enterprise operating procedures
  • Participate in continuing education to maintain leading-edge knowledge and skills in area of expertise
  • Maintain an adequate daily time summary
  • Other duties as assigned
