Position Purpose:
The Accounts Receivable Analyst plays a crucial role in optimizing cash flow, minimizing bad debt, and maintaining positive relationships with customers while adhering to financial controls and standards. The AR Analyst prepares and/or audits complex invoices for the Company and uses broad discretion to maximize payment from customers while adhering to Company and GAAP financial controls and standards. They will also ensure that the billing processes are in accordance with the company and GAAP controls.
Essential Duties and Responsibilities include but are not limited to:
- Contact clients with overdue accounts, both by phone and e-mail, to ensure timely payments on open invoices
- Consistently follow up with customers on past due accounts for direct and complex insurance/carrier payment structures
- Investigate reasons for delinquencies and encourage and arrange plans for timely payments
- Answer incoming calls regarding billing issues. Assist customers with disputes, inquiries, and questions surrounding payment history
- Provide thorough and accurate documentation of clients’ accounts through our communication channels, keeping record of all collection activities
- Maintain positive relationships with sales representatives, clients, and referral partners.
- Listen attentively to customers to ensure a positive customer experience when resolving account issues related to invoices/billing or cash applications
- Generate reports on accounts receivable aging, cash flow projections, and other relevant metrics for management review
- Identify opportunities to streamline accounts receivable processes, improve efficiency, and reduce delinquencies
- Work cross-functionally with other departments to address issues related to accounts receivable to improve overall cash flow management
- Support our clients by responding to and resolving inquiries (both written and verbal) with urgency and precision
- Leverage team guidance to resolve issues promptly and efficiently
- Engage with global colleagues in Legal, Account Management, Finance, and other parties to resolve billing issues promptly
- Work and partner with other internal and external departments to resolve issues
- Timely verification and entry of customer information, including but not limited to insurance carrier and claim information, client contact and legal property owner information
- Verify insurance information such as valid claim number, adjuster information, coverage information
- Communicate ongoing problems/concerns related to report review, system error or customers and coordinate with Supervisor
- Run soft reminder tool: review draft emails, submit reminder emails to clients
- Review weekly focus files, data, and update any payments or communications, if needed and follow up with clients
- Review file data and payment report (AR ledger), maintain and update AR spreadsheet, and follow up with clients
- Maintain up to date records of communication with clients or information related to collection of the corresponding outstanding amounts for each file (via master spreadsheet)
- Perform ad-hoc projects and reporting as needed for Finance management.
Requirements and skills:
- Minimum of an Associate’s degree in Finance or Accounting, or will consider other degrees with proven experience in the field.
- Minimum 3-5 years of experience in accounts receivable, accounting, with 2+ years of collections experience
- Strong accounting fundamentals and knowledge of GAAP controls.
- Excellent English written and verbal communication skills
- Strong organizational skills, including the ability to multi-task
- Demonstrated ability to deliver on assigned responsibilities through pursuing excellence, impeccable attention to detail, and use of effective interpersonal and communication skills.
- Flexibility to adapt to shifting priorities, manage deadlines, and support dynamic initiatives in fast paced environment.

- Strong sense of urgency and ability to work under pressure in a fast paced and demanding environment, which includes handling multiple tasks and challenging deadlines.
- Strong written and verbal communication skills
- Demonstrate initiative in personal and professional development by actively seeking out and participating in internal and external learning opportunities such as workshops, training programs and independent research.
- Intermediate proficiency in Microsoft Office Suite, including Excel and Outlook. Knowledge of Deltek Vision, QuickBooks, or SAP is preferred.
