Job Description:

The Commercial Immigration Paralegal will serve as a key partner to HR, Talent Acquisition, and business leaders by independently managing the company’s immigration program and ensuring compliance across all work authorization processes. This role owns the full lifecycle of nonimmigrant and immigrant cases—including H‑1B, L‑1, O‑1, TN, E‑3, PERM, and green card filings—while maintaining accurate employee data, tracking critical deadlines, and coordinating closely with external counsel. The paralegal will also support managing LCA postings, public access files, and integrate immigration requirements into hiring, internal mobility, and payroll workflows. Hiring managers can expect a proactive, detail‑driven partner who keeps cases on track, provides clear guidance to employees, and ensures audit‑ready documentation. This role will also help strengthen the program by developing SOPs, identifying process improvements, and driving consistency and efficiency across the broader HR ecosystem.

KEY RESPONSIBILITIES:

  • Manage immigration-related employee data, including visa type, status, expiration dates, and case milestones; ensure records are accurate and current.

  • Serve as the primary point of contact for employees navigating the immigration process, providing clear guidance on timelines, documentation requirements, and next steps.

  • Partner with HR business partners, payroll, talent acquisition, and people operations to integrate immigration requirements into hiring, transfer, and mobility workflows.

  • Draft and route internal communications related to case status updates, document requests, and process changes.

  • Track all case milestones, deadlines, RFE responses, and approval/expiration dates; proactively flag upcoming action items.

  • Independently manage case workflows for H-1B, H-1B1, L-1, O-1, TN, E-3, PERM, and adjustment of status filings from initiation through approval.

  • Prepare, review, and organize supporting documentation and evidence packages for visa petitions, coordinating with employees, managers, and outside counsel.

  • Handle LCA postings and maintain public access files in compliance with DOL regulations.

  • Research and analyze prevailing wage determinations; partner with HR Operations to coordinate with compensation, recruiting, and hiring managers when wage levels require salary adjustments or business decisions before filing.

  • Ensure audit readiness (document retention, public access files, LCA postings, PERM recruitment evidence, country specific requirements).

  • Serve as the primary liaison to external immigration counsel; manage case assignments, quality, SLAs, and cost controls.

  • Develop and maintain SOPs, templates, checklists, and tracking tools to drive consistency and reduce cycle times.

  • Identify and recommend process improvements across the immigration and HR operations workflow.

  • Identify process gaps and implement improvements that reduce cycle time, improve accuracy, and enhance experience.

  • Support International business travel documentation requests by creating standardized templates and providing guidance on documentation requirements and best practices for employees traveling internationally for work.

  • Pilot automation and self-service where feasible; define and track KPIs.

PREFFERED SKILLS:

  • Strong written and verbal communication skills; ability to translate complex immigration processes for non-legal audiences.

  • In-house experience at a company with 500+ employees or a significant foreign national population.

Pay Range:

$46.40 - $60.90

Pay Range Explained:

This role in Livermore, California pays between $46.40 and $60.90 per hour, depending on your experience, skills, and background. Pay may vary in other locations. We offer a full benefits package, including medical, dental, vision, life insurance, disability coverage, a 401(k) with company match, employee stock purchase plan (ESPP), and paid time off. You’ll also be eligible for quarterly profit-sharing bonuses and flexible spending or savings accounts.
