Job Description
• Manage end-to-end tenant communication for short-term, mid-term, and long-term rentals, including Airbnb messaging, direct tenant outreach, and professional written correspondence with a strong emphasis on clarity, responsiveness, & consistency.
• Handle outreach to prospective tenants from Facebook and other inbound channels, manage and transfer listings and customer information, and maintain accurate records within the CRM to support leasing and occupancy workflows.
• Coordinate calendars across leadership, tenants, and vendors, including organizing in-person showings, managing availability, and ensuring all appointments, turnovers, and follow-ups are properly scheduled.
• Coordinate closely with cleaning crews and internal team members to support unit turnovers, communicate maintenance needs, relay messages to contractors, and ensure tasks are completed on time and to standard.
• Use HubSpot for CRM and pipeline tracking, Airbnb messaging for guest communications, Slack for internal coordination, and other operational tools to keep communication flow organized and documented.
• Handle operational purchases such as ordering supplies from Amazon, track requests, support documentation needs, and provide detail-oriented administrative assistance to keep day-to-day operations running smoothly.
• Provide general administrative assistance, including lead generation activities such as sending client emails and occasional phone calls (excluding direct sales), to support broader business needs.
Job Requirements
- Minimum of 2.5-5 years of experience as an Executive Assistant, Administrative Assistant, or similar support role, preferably within property management, real estate, hospitality, or short-term rental operations.
- Exceptional written English communication skills with the ability to manage tenant, guest, and internal communications professionally and accurately.
- Demonstrated expertise in handling customer service escalations effectively and calmly, ensuring positive resolutions.
- Prior experience working with Airbnb, short-term rentals, property management, real estate operations, or tenant coordination is strongly preferred.
- Utilise HubSpot for CRM and pipeline tracking, Airbnb messaging for guest communications, Slack for internal coordination, and other operational tools to ensure communication remains organised, documented, and efficient.
- Highly detail-oriented with strong organizational skills, capable of managing multiple communication streams, calendars, listings, and operational tasks without things slipping.
- Proven ability to coordinate across multiple teams, including cleaning crews, maintenance staff, and contractors, with strong follow-through and accountability on task completion.
- Able to assist with financial reporting and possess strong numerical aptitude.
- Willingness to learn independently and conduct self-directed research.
- Familiarity with finance and accounting principles is preferred.
