Overview

Managesthe production ofone-thirdof Yale University Press’s new trade and academic titles(45-50 books annually) on time and on budget. The Production Controller acts as lead production contact on assigned projectsfrom edited manuscript through bound books,ebooks,and electronic archiving.Arranges for and purchases composition, printing, and binding services from outside vendors on assigned titles.

 

Purchases composition and printing services on assigned titles. Prepares plant and unit cost estimates based on design specifications for approval by Production Manager. Selects typesetters and book andcomponentprinters fromlistof preferred vendors, considering their capabilities and using agreed scales orsolicitingbids. Issuespurchaseorders for composition, printing, and binding, using the Press’s Title Management software.

 

Acts as lead production contact on assigned titles with outside vendors. Sends files to typesetters and manufacturers,maintainsclose contact on job progress, and monitors vendor performance for quality, costs, and schedule. Archives final application files and PDF files. Ensures final files are inan appropriate formatfor conversion toebooks. Tracks shipments of goods into the warehouse, using the warehouse’s inventory database system to enter purchase orders and verifyreceipt. Approves andprocessesinvoices.

 

Establishesand maintains schedules. As lead in-house production contact on assigned projects, sets schedules to achieve desired dates for delivery of finished books. Maintains schedules in the Press’s Title Management Module (TMM) for delivery of files to typesetters and printers, and delivery of bound books. Coordinates the flow of text and art files and proof through Acquisitions, Manuscript Editorial, and Design departments. Communicates with in-house staff and vendors to resolve problems, and provides regular information on job progress to editors, designers, and management by updating TMM.


Required Skills and Abilities

1. Working knowledge of Microsoft Office Suite and Adobe Acrobat Pro.

2. Excellent file management skills.

3. Excellent time management skills, including the ability toprioritize effectivelyand manage multiple projects and deadlines simultaneously.

4. Scrupulous attention to detail under deadline pressure.

5. Good mathematical skills.


Preferred Skills and Abilities

1. Demonstrated knowledge of offset and digital book printing and typesetting.

2. Working knowledge of inventory and database systems, and archiving software.

3. Familiarity with publishing prepress applications and formats (Adobe Creative Suite, HTML or XML,ePub).

 

Principal Responsibilities

 

1. Provides high level administrative support for project team. Establishes, selects, implements, and coordinates administrative procedures and systems. 2. Serves as principal source of information to project team and impacted students, staff, and faculty on project activities. 3. Works with a variety of project management and spreadsheet software to maintain project timeline and track resource allocation, performance metrics and other project related information. 4. Communicates with project team as necessary to monitor and ensure timely completion of deliverables. 5. Monitors expenditures and reconciles financial statements to ensure compliance with budgetary parameters and guidelines. 6. Composes substantive correspondence and written material. Assists with communication of project status and other information as necessary. 7. Determines logistical needs for meetings, including developing and assembling meeting materials, arranging rooms, catering and transportation as necessary. 8. Oversees, instructs, and coordinates activities of support staff. 9. May perform other duties as assigned.

 

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.
