The Production Assistant supports daily operational activities by managing incoming communications, coordinating job assignments, and assisting with estimating workflows. This role serves as a key point of contact between customers, field technicians, and internal departments to ensure efficient scheduling, accurate job creation, and timely response to inquiries.
- Answer and manage incoming phone calls and emails from customers, vendors, and internal staff.
- Respond to and coordinate internal inquiries from field technicians regarding job details, scheduling, and support needs.
- Create and enter new job requests in ServiceTitan.
- Schedule and assign new jobs to the appropriate field technicians based on scope, location, and availability.
- Create estimate opportunities in ServiceTitan for new service or project requests.
- Assign estimate opportunities to the appropriate estimating department or estimator.
- Maintain accurate job records and ensure all relevant information is properly documented.
- Communicate job updates, scheduling changes, and job status to internal teams and field staff.
- Track open jobs, pending estimates, and required follow-ups.
- Support production and operations teams with administrative coordination and workflow management.
- Ensure timely responses to all communications to maintain a high level of customer service.
- Hands-on experience with ServiceTitan (required).
- Experience in the Commercial Mechanical industry (HVAC, plumbing, or mechanical contracting environment).
- Strong phone, email, and internal communication skills.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Experience coordinating work orders, dispatching, or job scheduling.
- 2+ years of experience in production coordination, dispatching, or operations support.
- Experience working with field technicians and estimating teams.
- Familiarity with commercial service operations and job lifecycle management.
