Our platform empowers thousands of mission-driven organizations, from nonprofits to government entities, to make a difference in their communities and beyond. In 2024, our innovative software helped organizations worldwide run 30,000 programs, welcomed 1.2 million applicants, and facilitated the distribution of more than $10 billion in funding through our products on behalf of our clients.

We are on a mission to help organizations accelerate their impact, so we are proud to partner with organizations focused on Equity & Social Justice, Children & Education, Creative & Arts, Health & Wellness, Economic Justice & Opportunity, and Environment & Climate. At Submittable, technology and purpose converge, offering a unique opportunity to contribute to meaningful change.

We are seeking a highly organized, proactive People Operations Coordinator to support our remote-first software company headquartered in Missoula, Montana. This role plays a critical part in both People Operations and Recruiting, ensuring a seamless experience for candidates and employees across the full lifecycle. You will play a critical role in attracting, engaging, and hiring top talent, while ensuring a thoughtful and consistent candidate and employee experience.

As a key member of the People Team, you will own full-cycle recruiting across a variety of roles while also supporting key People Team operations. This position will collaborate cross-functionally to drive initiatives that foster a positive, inclusive workplace culture and elevate employee capabilities across the organization. This is an excellent opportunity for someone early in their HR or recruiting career who is eager to learn, contribute, and grow in a fast-paced, people-first environment.

How You’ll Make an Impact:

Full-Cycle Recruiting (Core Focus)

  • Own end-to-end recruiting for assigned roles (intake, sourcing, screening, coordination, offer, and close)
  • Partner with hiring managers to define role requirements, hiring plans, and candidate profiles
  • Proactively source and build diverse candidate pipelines using multiple channels (LinkedIn, referrals, job boards, etc.)
  • Conduct initial candidate screens and guide candidates through the interview process
  • Coordinate interviews as needed, ensuring a seamless experience for candidates and interviewers
  • Manage and improve the candidate experience from first touchpoint through offer acceptance
  • Partner with leadership on offer creation, negotiation, and closing
  • Track and report on recruiting metrics (pipeline health, time-to-fill, conversion rates)
  • Manage ATS (Greenhouse) workflows, job postings, and pipeline activity
  • Continuously improve recruiting processes, tools, and employer branding

Culture & Engagement

  • Assist with organizing and executing employee engagement initiatives such as employee engagement, wellness, recognition programs, and special events.
  • Support employer branding efforts to position the company as a great place to work
  • Participate in People Team projects and programs as needed
  • Manage and scale awards & recognition programs that drive engagement and enhance the company’s workplace experience, including supporting the administration of awards & recognition programs by tracking nominations, compiling reports, and assisting in communications.
  • Current Programming & Support required by this role includes:
    • Internal Communications
    • Employee Giving
    • Employee Recognition
    • Global Wellness Initiatives
    • Talent Acquisition - Recruiting, Hiring, Employer Brand

People Operations Support

  • Support onboarding and pre-boarding to ensure a smooth transition from candidate to employee
  • Assist with employee lifecycle processes (promotions, transfers, offboarding) as needed
  • Provide administrative and program support on ad-hoc initiatives, lead and directed by HR or Exec Leadership

What We’re Looking For:

  • Ability to drive cross-functional alignment with leaders and teams.
  • Proven ability to manage full-cycle recruiting independently
  • Strong sourcing skills and ability to build pipelines proactively
  • Excellent communication and stakeholder management skills
  • Ability to balance speed and quality in a fast-paced environment
  • Experience with ATS and HRIS platforms (e.g., Greenhouse, Rippling)
  • Familiarity with sourcing tools (LinkedIn Recruiter, job boards, etc.)
  • Candidate-first approach with a focus on experience and relationship-building
  • Adaptability and comfort working in a remote-first environment
  • Data-driven mindset with a focus on continuous improvement
