Job Description
• Provide daily administrative support to 2 C-level Executives and 1 Project Manager
• Manage complex calendars, scheduling, and meeting coordination across multiple time zones
• Prepare agendas, presentations, reports, and executive correspondence
• Draft, proofread, and format emails, letters, and internal documentation
• Handle confidential and sensitive information with professionalism
• Support the Project Manager with documentation, trackers, and status updates
• Coordinate internal and external meetings (consultants, subcontractors, suppliers, stakeholders)
• Maintain project files, folders, and records in shared systems
• Track action items, deadlines, and follow-ups
• Arrange domestic and occasional international travel, accommodation, and itineraries
• Coordinate site visit schedules, meetings, and logistics
• Process expense reports and basic invoice tracking
• Act as a point of contact between executives, project teams, and external partners
• Manage inboxes and prioritize communications
• Ensure timely follow-ups and responses
• Maintain digital filing systems and document control
• Assist with procurement requests, simple vendor coordination, and purchase orders (as required)
• Identify opportunities to improve workflows and administrative processes.
Job Requirements
- Proven experience as a Virtual Assistant, Executive Assistant, or Senior Administrative Assistant
- Experience supporting senior executives (C-level or equivalent)
- Prior experience working with Australian companies or stakeholders
- Background in Construction, Engineering, Architecture, or related industries is highly preferred
- Excellent written and verbal English communication skills
- Strong organizational and time-management skills
- Ability to work in a fast-paced, high-accountability environment
- High level of discretion and professionalism
- Proficiency in Google Workspace / Microsoft Office (Docs, Sheets, Excel, PowerPoint, Outlook)
- Experience with video conferencing tools (Zoom, Microsoft Teams, Google Meet)
- Familiarity with project and task management tools (e.g., Asana, Monday.com, Trello, ClickUp)
- Document management and cloud storage systems.
- Nice-to-Have Experience with construction project documentation or basic project coordination
- Familiarity with Australian business culture and working hours.
