Job Description

The Arizona Attorney General’s Office Civil Litigation Division /Consumer Protection & Advocacy Section is seeking a Financial Legal Specialist. This position is responsible for generating/maintaining accurate reports for the Division. Establishes and maintains report standards and procedures. These reports are used by the Division/Sections/Units and provided to Operations when necessary for budget purposes. Conducts effectiveness reviews to ensure systems are applied and functioning as designed. Reviews and reports to Division/Sections on unusual or questionable items, and suggests solutions. Develops and updates functional or operation manuals outlining established methods for software and legal practices in accordance with Division policy. Position also prepares files for archiving. Position maintains extensive, complicated, and confidential spreadsheet databases, and cross references with Legal Files. Audits monies received for cases, calculates interest, processes restitution distributions, and maintains judgments for CPA. This position is also needed in the Section for collection tasks that are not handled by the Bankruptcy, Collections, & Enforcement Section: tracks judgment balances and interest accruals; audits payment entries; distributes restitution and sends demand letters. May function as a project lead. Performs other related functions as necessary. This position may offer the ability to work remotely up to two days a week based upon the department’s business needs and continual meeting of expected performance measures. Responsible for generating and maintaining accurate reports regarding the Division's activity. Prepares charts, tables, and other exhibits to be used in quarterly statistical reports, judgment and billable hour reports, and produces other reports, tables and charts as needed. Establishes and maintains report standards, procedures, methods, and rules. Conducts effectiveness reviews to ensure systems are applied and functioning as designed, for example auditing data entered into Legal Files by legal support staff. Reviews and reports to Division and Sections on unusual or questionable items, and suggests solutions. Develops and updates functional or operational manuals outlining established methods for Legal Files entries in accordance with Section policy. Prepares files for archiving. Maintains an extensive and complicated spreadsheet database. Audits monies received for cases, calculates interest, processes restitution, and maintains judgments for the CPA. This position also maintains all information on spreadsheets and cross references with the Legal Files database. Handles collection tasks for CPA. Tracks judgment balances and interest accruals; audits payment entries; distributes restitution; and sends demand letters. KNOWLEDGE • Knowledge of methods and techniques of automated accounting systems, including use of various software packages such as Microsoft Office; Outlook; Excel; Adobe Acrobat and Power Point. • Knowledge of applying State and Federal statutes regarding collections as well as regulations relating to generally accepted accounting principles. • Knowledge of maintenance of financial records and formats as well as budget and fiscal report preparation. • Knowledge of the principles and practices of administration with special reference to organization; fiscal management; budgetary control; general administrative services; planning; control and supervision. SKILLS • Skilled with computers. • Skilled in applying policies and procedures and analyzing work situations in determining appropriate or alternate course of action. • Skilled in financial research/audit methodologies. • Skilled in using office devices and systems; and performing mathematical calculations. • Skilled in oral and written communications and interpersonal relationships. ABILITIES • Ability to learn new software programs. • Ability to read and analyze a balance sheet and perform complex mathematical formulas. • Ability to supervise multiple projects and promote team motivation. • Ability to complete complex analytic and managerial work. • Ability to speak and write effectively. Bachelor's degree with a major in accounting/finance from an accredited college or university preferred. Any combination of training and experience that meet the knowledge, skills and abilities may be substituted. Three years responsible administrative experience in such fields as purchasing; budgeting; accounting; data processing or related administrative services work.
