As our Client On-boarding Specialist, you’ll support clients in their first year and ensure their plans start strong, accurate, and compliant.

We are looking for a detail oriented, proactive, and client focused Client Onboarding Specialist to support newly implemented retirement plans during their first year. In this role, you’ll help ensure a smooth transition from New Business to Operations by performing on-boarding audits, validating documents, reviewing data, and guiding clients through the early stages of plan administration.

What You’ll Do

  • Onboarding Audit & Quality Review
    • Conduct full audits of the on-boarding process and related documents
    • Review plan documents, corporate documents, and call notes from initial setup
    • Verify plan status and perform completeness checks
    • Identify missing items and provide clear, actionable summaries for follow-up
  • Data & Documentation Accuracy
    • Review system data to ensure accurate plan information
    • Review stock entries and confirm proper stock issuance
    • Organize client folders with all required plan and corporate records
    • Review retirement plan documents and coordinate corrections when needed
  • Client Support & Communication
    • Serve as a proactive contact for new clients
    • Provide necessary documents to SBA lenders
    • Assist clients with retirement plan loans
    • Guide clients through the Year End Questionnaire and Census process
    • Explain complex plan rules in simple, client friendly terms
  • Plan Operations & Internal Collaboration
    • Build foundational knowledge of plan design, annual requirements, and compliance testing
    • Partner with internal teams to resolve on-boarding issues
    • Use internal tools, including Pension Pro, to manage tasks
    • Maintain tasks within required internal and external deadlines
    • Handle confidential plan information professionally and securely
  • Additional Duties
    • Participate in special projects as needed
    • Take ownership of all tasks and deliverables for assigned clients
    • Thrive in a fast paced, deadline driven environment

Qualifications

  • Strong customer service and communication skills
  • Ability to manage multiple projects accurately and efficiently
  • Excellent organizational and problem solving abilities
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Ability to interact professionally with clients, partners, and internal teams
  • Self-starter who works well independently and as part of a team
  • Strong attention to detail
  • High school diploma or GED required

Your Work Environment

  • Monday–Friday, 8:00 AM–5:00 PM (occasional after hours as needed)
  • Fully remote — must maintain a secure home office
  • Must reside in one of the eligible states listed below
  • Must live in - AZ, CA, CO, FL, GA, IA, MD, MI, MN, MA, NC, NY, NJ, OH, PA, SC, TX, UT, LA
