Job Summary and Responsibilities

Acentra Health is looking for a Scheduler (Remote) to join our growing team.


Job Summary:

 

The Scheduler plays a crucial part in streamlining appointment coordination and supporting the company's commitment to providing timely and comprehensive services in alignment with any requirements. 

 

Responsibilities:

  • Schedule appointments for SOP consultation in accordance with standing procedures.
  • Provide information on meeting transportation, alternative arrangements and/ or refer to the appropriate county-based transportation office.
  • Contact the selected consultant's office to schedule an appointment.
  • Ensure that consultations are completed within thirty (30) minutes of the initial request.
  • Follow up on consultation, ensuring proper completion within one working day that the consultation occurred.
  • Reschedule appointments if consultations did not take place, identifying and addressing the reasons for missed appointments.
  • Assign second opinion numbers according to Dept. of Public Welfare's (DPW) system requirements.
  • Generate form(s), letter(s). and mail to consulting practitioner to summarize findings, identify alternatives, and include their recommendations.
  • Maintain database to ensure all inquiries have been responded to promptly.
  • Assist the hotline team when needed.
  • Other duties as assigned
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications

Required Qualifications

  • High school diploma or equivalent, post high school education is preferred.
  • Resident of the State of Maine
  • 1+ years' experience with scheduling and managing multiple calendars 
  • Superior attention to detail.
  • Strong communication (written/verbal), interpersonal, organizational, time management and communication skills.
  • Exceptional customer service skills.

Preferred Qualifications

  • Ability to multi-task and prioritize with variable and sometimes conflicting deadlines. 
  • Specific medical management industry experience strongly preferred.
  • Maintain professionalism, flexibility, and dependability under pressure
  • Ability to work independently without direct supervision
  • Skilled with Microsoft programs.
