Role Description

We are looking for a highly structured, bilingual (English/Spanish) Executive Assistant to support a U.S.-based executive operating in the mortgage origination and real estate finance sector. This role requires someone who brings structure, accountability, and operational discipline into a fast-paced financial services environment.

  • Supporting executive-level daily operations and calendar management
  • Speaking with clients (English & Spanish) to schedule evaluation meetings
  • Coordinating meetings, Zoom calls, and calendar invites
  • Managing CRM updates and client tracking systems
  • Handling confidential financial and compliance-related information
  • Preparing reports, spreadsheets, and executive documentation
  • Prioritizing tasks in a production-driven mortgage environment
  • Participating in weekly performance review and priority alignment meetings

Qualifications

  • Minimum 2 years of experience supporting a U.S.-based executive
  • Prior experience in mortgage, banking, real estate, or financial services (strongly preferred)
  • Fully bilingual in English and Spanish (verbal & written)
  • Experience communicating with clients via phone and email
  • High proficiency in MS Office (Excel, Word, Outlook, Teams)
  • High proficiency in Google Workspace
  • High proficiency in CRM systems
  • High proficiency in Zoom
  • High proficiency in calendar management systems
  • Strong time-management and prioritization skills
  • Close attention to detail
  • Experience handling confidential financial information
  • Proactive mindset (anticipates needs)
  • Comfortable working in a fast-paced, production-focused environment
  • Must be available during Eastern Time business hours
