Role Description
We are looking for a highly structured, bilingual (English/Spanish) Executive Assistant to support a U.S.-based executive operating in the mortgage origination and real estate finance sector. This role requires someone who brings structure, accountability, and operational discipline into a fast-paced financial services environment.
- Supporting executive-level daily operations and calendar management
- Speaking with clients (English & Spanish) to schedule evaluation meetings
- Coordinating meetings, Zoom calls, and calendar invites
- Managing CRM updates and client tracking systems
- Handling confidential financial and compliance-related information
- Preparing reports, spreadsheets, and executive documentation
- Prioritizing tasks in a production-driven mortgage environment
- Participating in weekly performance review and priority alignment meetings
Qualifications
- Minimum 2 years of experience supporting a U.S.-based executive
- Prior experience in mortgage, banking, real estate, or financial services (strongly preferred)
- Fully bilingual in English and Spanish (verbal & written)
- Experience communicating with clients via phone and email
- High proficiency in MS Office (Excel, Word, Outlook, Teams)
- High proficiency in Google Workspace
- High proficiency in CRM systems
- High proficiency in Zoom
- High proficiency in calendar management systems
- Strong time-management and prioritization skills
- Close attention to detail
- Experience handling confidential financial information
- Proactive mindset (anticipates needs)
- Comfortable working in a fast-paced, production-focused environment
- Must be available during Eastern Time business hours
