Job Description

Overview

The Leave Specialist supports the day‑to‑day operational administration of leave programs, including FMLA, disability, paid leave, and other statutory or company-sponsored leave types. This role ensures accurate and timely processing of leave cases, maintains data integrity across HR systems, and provides clear, service-oriented guidance to team members and leaders. The Leave Specialist partners closely with HR, Occupational Health, Payroll, and external vendors to execute leave processes efficiently and consistently, maintaining compliance with federal, state, and local regulations.


Responsibilities

Leave Case Administration

  • Administers the full lifecycle of team member leave cases, including intake, eligibility review, documentation collection, and case resolution.
  • Provides team members and leaders with clear, timely guidance on leave processes, timelines, documentation needs, and system navigation.
  • Monitors leave timelines and proactively follows up to ensure smooth case progression and compliance with regulatory deadlines.

HR Operations & Process Execution

  • Maintains accurate leave data within PeopleSoft HRIS system.
  • Ensures all leave-related transactions (e.g., time entry adjustments, status changes) are processed accurately and within established SLAs.
  • Supports workflow improvements and process improvement by identifying process gaps, recommending enhancements, and escalating system or process issues as needed along with recommended solutions.

Cross-Functional Coordination

  • Partners with Occupational Health, Payroll, and external leave administrators to ensure synchronized execution of leave processes.
  • Coordinates return-to-work steps including required documentation and system updates, and communicates next steps to team members and leaders.

Compliance & Documentation

  • Ensures all leave cases are managed in accordance with federal, state, and local leave laws as well as company policy.
  • Maintains proper documentation and audit-ready records to support compliance, reporting, and internal controls.

Reporting & Data Integrity

  • Monitors leave data and identifies anomalies or inconsistencies that require correction or escalation.

Prepares standard reports or case metrics to support operational performance monitoring.


Qualifications

Minimum Requirements:

 

Education:

  • High school diploma required; Associate’s or Bachelor’s degree preferred.

 

Experience:

Required

  • 5+ years - Leave program policy development and management
  • 3+ years - Vendor relationship management
  • 3+ years - Compliance with leave laws
  • 3+ years - Return to work program oversight
  • 2+ years – Team Member and leader guidance

Job Requirements

  • Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
