Job Description

• Coordinate and schedule interviews across multiple time zones for roles across all departments • Serve as a primary point of contact for candidates, ensuring clear, timely, and professional communication throughout the interview process • Partner closely with recruiters and hiring managers to keep interview processes running smoothly and on track • Manage interview logistics, including calendar scheduling and candidate preparation • Maintain accurate candidate, interview, and pipeline data in Ashby (ATS) • Assist with administrative tasks throughout the hiring process, including drafting, preparing, and sending offer letters, coordinating approvals, and supporting onboarding handoffs • Support recruiting operations by tracking interview progress, updating pipelines real time, and ensuring data accuracy • Identify and recommend improvements to scheduling workflows, candidate experience, and recruiting operations • Assist with additional recruiting projects as needed, including hiring coordination, process improvements, and employer branding initiatives

Job Requirements

  • 1+ years of experience in a recruiting coordinator or scheduling role at a high-growth company, tech or AI preferred
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills and a strong candidate-first mindset
  • Ability to navigate with a sense of urgency and juggle multiple requests and shifting priorities in a fast-paced environment
  • Experience using an ATS or scheduling tools (bonus if you’ve worked in Ashby!)
  • Proficiency with Google Calendar, Zoom, Slack, and other collaboration tools
  • Proactive, reliable, and comfortable taking ownership with minimal oversight
  • Interest in working at an AI-first company and growing a career in talent acquisition
