Job Title: Administrative Assistant

About the Role

Invicta Software is seeking a highly organized and proactive Remote Administrative Assistant to support our dynamic team. This role plays a crucial part in ensuring smooth daily operations by managing administrative tasks efficiently and fostering effective communication across departments. Key Objectives

  • Provide comprehensive administrative support to various teams within Invicta Software.

  • Maintain organized records and manage correspondence to enhance operational efficiency.

  • Coordinate schedules, meetings, and communications to support seamless workflow.

  • Serve as a reliable point of contact for internal and external stakeholders.

Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings across multiple time zones.

  • Prepare, review, and distribute internal and external communications, including emails, reports, and presentations.

  • Assist with document management, data entry, and maintaining accurate records.

  • Support project teams by tracking deadlines, organizing resources, and following up on action items.

  • Handle travel arrangements and expense reporting as needed.

  • Respond promptly to inquiries and provide excellent customer service to clients and colleagues.

  • Collaborate with IT and other departments to troubleshoot basic technical issues when necessary.

  • Contribute to process improvements that enhance administrative workflows.

Qualifications

  • Proven experience as an administrative assistant, preferably in a remote or virtual setting.

  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Excellent written and verbal communication skills.

  • Exceptional organizational skills with a keen attention to detail.

  • Ability to manage multiple priorities and work independently with minimal supervision.

  • Familiarity with project management tools (e.g., Asana, Trello) is a plus.

  • Reliable internet connection and a suitable home office environment.

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
