Job Description
NBCUniversal is looking for a high-energy, results-driven and detail-oriented Executive Assistant to provide administrative support to the Global Chief Security Officer of the company.
The ideal candidate for this position has exemplary planning and time management skills, excellent communication skills, and the ability to operate in a resourceful and self-directed manner. This individual will work across Global Security (GSO), Business Continuity and Crisis Management (BC/CM), and Employee Health & Safety (EHS) functions on behalf of the Global Chief Security Officer.
Responsibilities:
- Responsible for proactively managing and coordinating daily schedule, calendar appointments, contacts, travel arrangements, internal meetings and external appointments
- Arrange and schedule significant volume of meetings with Executive colleagues and direct reports across multiple time zones; maintain and update calendar while determining priority of requests and scheduling accordingly
- Arrange domestic and international travel accommodations, work visas and associated documents including comprehensive and detailed multi-city travel itineraries, when applicable
- Serve as first line of defense with the high volume of phone and email communications
- Demonstrate flexibility, poise, patience and persistence in routinely adjusting priorities and rescheduling meetings
- Process expense reports in accordance with established policy guidelines, tracking expenses and following up in a timely manner
- Interact with IT support on behalf of executive
- Manage and organize files, physical and electronic, as required
- Create and edit presentations, agendas, spreadsheets, and reports
- Perform other duties as assigned and assist with special projects as needed
Qualifications
Basic Requirements:
- Previous experience maintaining executive's phone, calendar, work and travel schedules
- Solid interpersonal skills, including a professional phone manner and in-person presence
- Proficient with Microsoft Office programs including Outlook, Word, and Excel with advanced knowledge of PowerPoint
- Proficiency in Microsoft 365 document sharing and collaboration tools
- Ability to work and maintain confidential information
- Experience taking detailed notes and extracting action items
- Ability to understand priorities and adjust meetings and content appropriately

- Experience operating in roles with a high level of access to confidential employee and business information and ability to maintain the highest degree of confidentiality and discretion
- Inherent ability to always operate with the utmost integrity and honesty
- Comfortable navigating a complex environment to obtain information and solve challenges
- Experience utilizing tools and systems for travel, expense reporting and approvals, office booking and scheduling
- Exceptional written and verbal communication skills; exemplary interpersonal skills including a professional in-person and virtual presence
- Excellent attention to detail and comfort partnering with others to track and meet deadlines
- Demonstrated experience taking detailed notes and extracting action items; ability to understand priorities and adjust schedules accordingly
- Self-starter, who is organized with strong decision-making capability, ability to follow through without supervision and strong emotional maturity
- Adaptable to various competing demands, demonstrating the highest level of customer service and response
- Forward looking thinker who actively seeks opportunities and proposes solutions
- Highly resourceful team-player, with the ability to also be extremely effective independently
Additional Information
This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
