Role Description

We need an experienced Virtual Events Manager to provide full-time support to the Health Resources and Services Administration (HRSA) Federal Tort Claims Act (FTCA) program. The FTCA Program provides medical malpractice liability protection to federally funded health centers and free clinics, requiring rigorous credentialing, quality assurance, and compliance oversight to reduce federal liability risk. In this role, you would lead the strategy, planning, and execution of medium to large-scale virtual conferences, webinars, and hybrid engagements using enterprise-level event platforms such as Zoom and WebEx.

These virtual events are used to educate health centers, ease the process of credentialing, and provide a structured forum for health centers to receive real-time guidance, ask questions, and build the knowledge and confidence needed to successfully navigate the FTCA deeming application process and maintain ongoing compliance with HRSA program requirements.

Responsibilities

  • Lead end-to-end planning and execution of large-scale virtual events (500–5000+ attendees), including clinics, training sessions, panels, and executive briefings.
  • Configure, manage, and operate virtual event platforms (Zoom, WebEx, Microsoft Teams, and similar tools) before and during live sessions.
  • Set up meeting rooms, breakout sessions, manage permissions, launch polls, monitor chat and live Q&A, control screen sharing, translation services, real-time captioning, and other accessibility features.
  • Troubleshoot live technical issues in real time while maintaining professionalism and audience engagement.
  • Develop comprehensive project plans, timelines, run-of-show documents, risk mitigation plans, and production schedules.
  • Coordinate with content teams, graphic designers, and remediation specialists to ensure presentations, PDFs, videos, registration materials, and post-event reports meet 508 compliance requirements prior to distribution.
  • Serve as primary point of contact for government clients, ensuring alignment with contract requirements.
  • Conduct speaker onboarding sessions and technical rehearsals to ensure presenters are prepared and platform-ready.
  • Serve as on-camera host and facilitator for virtual sessions, including delivering opening remarks and housekeeping announcements, kicking off meetings and setting expectations, introducing speakers and moderating transitions, and managing live audience engagement elements (Q&A, chat, polling).
  • Track event metrics and produce post-event reports using analytics to show findings and to make recommendations.
  • Identify process improvements and implement scalable best practices for virtual event delivery.
  • Mentor junior team members and provide leadership during high-visibility events.

Qualifications

  • 5+ years of experience in event planning, with at least 3+ years focused on large-scale virtual events.
  • Demonstrated experience supporting government clients (federal, state, or local preferred).
  • Experience coordinating with remediation specialists to ensure that conference materials and deliverables meet Section 508 accessibility compliance standards.
  • Advanced proficiency in virtual event platforms including Zoom, WebEx, Microsoft Teams, and similar technologies.
  • Experience serving as a live virtual host, moderator, or facilitator for professional events.
  • Strong executive presence and comfort speaking to large virtual audiences.
  • Proven ability to manage complex stakeholder environments and executive-level events.
  • Exceptional written and verbal communication skills.
  • Ability to troubleshoot live technical issues calmly and effectively.
