Certara’s AI Innovations Group is seeking a highly organized and proactive Operations Specialist to support the planning, coordination, and execution of AI technology initiatives across the enterprise. This role serves as an operational backbone for the AI Innovations team, working closely with the Chief Technology Officer (CTO) and AI Operations Manager to ensure the smooth deployment and adoption of AI-driven solutions throughout Certara’s product portfolio.

The ideal candidate brings a strong foundation in business management and operations, with a talent for keeping complex, cross-functional programs on track. Responsibilities

  • Scheduling & Calendar Management: Coordinate and manage complex meeting schedules, agendas, and timelines for the AI Innovations leadership team, including the CTO and AI Operations Manager.
  • Program Logistics: Oversee logistical planning for AI technology rollouts, pilot programs, internal demos, and cross-departmental collaboration sessions.
  • Project Planning & Tracking: Develop and maintain project plans, timelines, milestones, and status dashboards to ensure AI initiatives remain on schedule and within scope.
  • Communications: Draft and distribute internal communications, status updates, presentations, and reports to keep stakeholders informed of AI program progress and key milestones.
  • Cross-Functional Coordination: Serve as a liaison between the AI Innovations team and other business units, R&D, product management, and executive leadership to align priorities and facilitate information flow.
  • Documentation & Process Improvement: Create and maintain operational playbooks, standard operating procedures, and workflow documentation to support repeatable and scalable AI deployment processes.
  • Vendor & Partner Support: Assist in coordinating activities with external technology partners, including scheduling and logistics for joint initiatives.
  • Budget Tracking: Support the AI Operations Manager with budget monitoring, expense tracking, and procurement coordination for AI-related projects and tools.
  • Event Coordination: Plan and coordinate team off-sites, workshops, training sessions, and other events related to AI capability building across the organization.

Qualifications

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • 3+ years of experience in operations management, project coordination, or business operations, preferably in a technology or life sciences environment.
  • Demonstrated ability to manage multiple competing priorities and complex schedules across distributed teams.
  • Excellent written and verbal communication skills with the ability to distill complex information for diverse audiences.
  • Proficiency with project management and collaboration tools (e.g., Microsoft Project, Jira, Asana, Confluence, Microsoft 365).
  • Strong organizational skills with meticulous attention to detail and follow-through.
  • Ability to work independently and exercise sound judgment in a fully remote environment.

PREFERRED QUALIFICATIONS

  • Experience supporting executive-level leadership in technology or R&D organizations.
  • Familiarity with AI/ML technologies, terminology, and deployment workflows.
  • Experience with enterprise change management frameworks and communication strategies.
